Legal Secretary

Responsibilities:Serve as primary liaison between attorneys, clients, courts, internal departments, and external vendors, ensuring seamless communication and coordination.Prepare agendas, minutes, background materials, and draft, format, and manage legal documents including pleadings, correspondence, binders, and exhibits.Manage complex calendars, travel, and meeting logistics across multiple time zones, proactively tracking matter-related deadlines and deliverables.Oversee matter openings, timesheets, expenses, e-filings (federal, state, and appellate), and coordinate depositions, court reporters, and transcript distribution.Conduct legal and internet research, maintain physical and electronic files, and support high-level communications with discretion.Independently prioritize sensitive matters, provide on-site client support, and assist cross-team initiatives, including peak-period coverage.Qualifications: Bachelor’s degree preferred with 3-5+ years of senior-level administrative experience, ideally within a law firm or professional services environment.Exceptional organizational, time management, and communication skills with executive presence.Advanced proficiency in Microsoft Office, Outlook calendaring, Zoom, and MS Teams.Strong project management skills with the ability to manage confidential information and competing priorities in a fast-paced setting.The Phoenix Group Advisors is an equal opportunity employer.
