Job SummarySecretary to the Superintendent (240 Day Assignment)Reports To: Superintendent of EducationResponsibilities:Demonstrates support for the school system and its vision, goals, and prioritiesPromotes an efficient, well organized administrative office by providing appropriate communication and assistance to the system's administrative staff, teachers, students, and communityPrioritizes tasks based on the daily operational needs of the district and the Superintendent's duties.Maintains posting of current job vacancy announcements locally and on the Teach Alabama websiteAssistants job applicants and substitute inquiries as requestedMaintains support application filesPrepares and disseminates all correspondence as directed by the SuperintendentMaintains Superintendent's correspondence filesMaintains Superintendent's daily calendar including the schedule of appointments and meetingsAssists with developing the schedule for administrative meetings and monthly individual principal meetingsMaintains emergency procedures/contact list and assists with information dissemination in the event of unplanned school dismissal or cancellations; reports to SDE as requiredAssists certified personnel in the teaching certificate renewal processAssists certified personnel in completing paperwork required for obtaining additional and/or advanced degrees and/or additional certification(s)Works closely with Payroll/Benefits Supervisor to maintain accurate and complete personnel files for all staffDevelops timeline and oversees Teacher of the Year ProgramAssists in the development of staff professional development meetings, Administrative Retreat, New Teacher Orientation, and InstituteDevelops plans for annual retiree luncheon and system wide retirement reception.Performs clerical assignments and various tasks related to the Board meetings and needs of the Board of Education members:Organizes monthly board agendaPrepares and disseminates board packet informationAttends regular and special board meetings and board work sessionsRecords and maintains Board of Education minutesDisseminates "Board Action/MSCS Newsletter" newsletter to all personnelAssists Board members in meeting and travel arrangementsMaintains Muscle Board of Education policies and policy manualPerforms other duties as assigned by the Superintendent Terms of Employment: 240 day contractSalary calculated from Support Staff Salary Schedule based on years of experience
