Senior Administrative Clerk / Administrative Secretary II
Position Overview
We are seeking a highly qualified Senior Administrative Clerk / Administrative Secretary II to support the administrative, financial, and operational functions of our office. This role is intended for an experienced professional who is comfortable working independently, managing documentation and workflows with precision, and supporting leadership in a structured business environment.
This is not an entry-level position. Candidates must have demonstrated experience supporting executive-level personnel and managing complex administrative responsibilities with accuracy and professionalism.
Key Responsibilities
Maintain and organize administrative, operational, and financial documentation
Support accounts payable processes, invoice tracking, and related recordkeeping
Communicate with vendors regarding billing, documentation, and follow-ups
Track purchase orders, deliveries, and associated administrative records
Prepare reports, correspondence, and internal documentation as required
Ensure office procedures, filing systems, and workflows are followed consistently
Provide high-level administrative support to leadership and assist with coordination of business activities
Minimum Qualifications
Education:
Equivalent to completion of a Bachelor’s degree from an accredited college or university, with major coursework in business, accounting, or a related field.
Experience:
Equivalent to at least four (4) years of recent and verifiable administrative support experience for executive-level management personnel, involving frequent public contact.
Preferred Qualifications
Experience in business operations, logistics, or finance-related environments
Familiarity with accounting systems such as ASPEN or similar platforms
Experience coordinating with vendors, tracking documentation, and maintaining records in structured environments
Physical Requirements
Must be able to perform the duties of an office-based position, including prolonged periods working at a computer, using a keyboard, and operating standard office equipment.
Must possess sufficient mobility to move throughout the office and warehouse areas as needed to support job functions, including preparing last-minute will-call orders for customer pickup and verifying inventory stock levels when required.
Some positions in this classification may require the ability to lift and carry items weighing up to 25 pounds, including boxes, files, and materials related to monthly and year-end organization.
Selection Process
Candidates who successfully complete the interview process may be invited to participate in a brief paid in-person skills assessment lasting approximately 60–90 minutes.
During this session, candidates will complete a few practical tasks representative of the role, such as reviewing documentation, organizing information, or responding to sample administrative scenarios. The purpose of this assessment is to evaluate job-related skills in a structured setting and to ensure the role is a strong mutual fit prior to extending an offer.

Pay: $85,000.00 - $90,000.00 per year
