Job Description Legal Administrative AssistantWashington, DC | Full-Time | In OfficeA Washington, DC law firm is seeking a Legal Administrative Assistant to support a team of attorneys with document preparation, administrative support, and litigation-related tasks. This role requires strong attention to detail, excellent organizational skills, and the ability to manage multiple priorities in a fast-paced legal environment.ResponsibilitiesFormat, proofread, redact, compare/redline, and transcribe a variety of documents, including handwritten notes, audio and video files, word processing documents, spreadsheets, and presentationsConvert and reformat documents into various electronic formats as neededTransmit and track documents via email, U.S. Mail, UPS, FedEx, and courier services, ensuring proper transmittal methods and compliance with certificates of serviceProofread and enter attorney billable time and reimbursable expenses into the firm’s time and billing systemConduct basic internet research and compile information for attorneysCoordinate travel arrangements and meeting logistics, including researching and reserving meeting spacesMaintain and organize electronic and paper files, including digitizing paper files and saving them within the firm’s document management systemPrepare binders for meetings, hearings, and other proceedings, including creating tables, spines, and tabs and pulling documents from internal systems and legal research platformsPrepare and affix exhibit labels for both electronic and paper materialsCalendar deadlines and important dates from scheduling ordersAssist with reception coverage on a rotating basis with other assistants, including answering the firm’s main phone line, greeting visitors, and sorting and distributing mail and packagesProvide occasional office support, such as assisting with kitchen restocking or meeting catering setup when office services staff are unavailableQualifications1-2 years of experience in a law firm or legal environment preferredStrong proficiency with Microsoft Office (Word, Outlook, Excel) and document formattingExcellent proofreading and attention to detailStrong organizational and time-management skillsAbility to manage multiple tasks and meet deadlines in a busy legal environmentProfessional communication skills and a collaborative attitudeCompany DescriptionBonnie Jones Associates, L.L.C. is your source for finding and filling permanent financial, accounting, administrative, legal, executive assistant, accounting and HR positions.
