Job Description
Job Summary
The Liens and Legal Manager is responsible for the Customer Service Intake Scheduling team along with the Approvals team. This position reports directly to the Senior Manager of Liens and Legal and is vital in ensuring timely processing of personal injury patients from approval to account closure/payment. The intake and approval manager ensures efficient, high-quality service by assuring team is adhering to department-defined policies and procedures directly impacting our patients. Manager also adheres to department-defined policies. This role requires exceptional attention to detail, strong organizational skills, multi-tasking skills, and effective communication skills.
Duties/Responsibilities:
Champions the Lumexa Imaging Mission and Values in daily activities
Staff Management Activities
Supervise and coach representatives on Lumexa Imaging processes, guidelines, and performance metrics
Manage the performance management process, including goal setting, annual reviews, recognition, coaching, and addressing performance issues
Provide ongoing coaching and support; develop representatives through effective hiring, mentoring, and performance feedback
Track attendance and log appropriately
Reassign tasks as needed due to call-outs, PTO, or volume fluctuations
Communicate firm or funding changes and trends to the team
Ensure staff compliance with departmental policies and insurance guidelines
Demonstrate and reinforce knowledge of medical terminology, medical office procedures, and HIPAA regulations
Other duties as assigned related to staff oversight
Service Management Activities
Communicate appointment details, including scheduled, rescheduled, and canceled appointments
Perform quality checks to ensure accuracy of referrer, radiologist, carrier information, and payment posting
Monitor case updates to ensure records are current and accurate
Monitor payment volume to ensure timely posting
Work closely with attorneys, case managers, funding partners, and patients to resolve errors or complaints
Clearly document all communications and contacts with providers and personnel in accordance with standardized documentation requirements and proper formatting
Completes other tasks and projects as assigned (5%)
Required Knowledge, Skills, and Abilities:
Knowledge of and adherence to company policies and protocols
Knowledge of and adherence to HIPAA and safety guidelines
Excellent analytical, problem-solving, and decision-making skills.
Skilled in written and verbal communication
Ability to take the initiative to improve processes, think strategically and identify trends

Education and Experience:
A bachelor’s degree or an equivalent combination of experience and education is preferred.
Minimum two years of Supervisory or Management experience
2 years of experience working in insurance verifications.
Experience with Microsoft Office, including Excel
Physical Requirements:
Requires the use of office equipment, such as computers, fax machines, telephones and copiers
Requires computer-related activities for extended periods of time
Requires the ability to see, hear, speak, write, and key
