We’re now seeking a highly skilled Executive Assistant to support our CEO — a pivotal role at the heart of our organization.The OpportunityThis is not your typical EA role. You’ll serve as the strategic right hand to the CEO, managing complex schedules, high-level communications, and confidential matters with discretion and finesse.In this role, the Executive Assistant acts as a trusted operational partner to the CEO — helping translate priorities into action, anticipating needs, and ensuring communication and materials are organized and executed at the highest level.The ideal candidate thrives in close partnership with a fast-moving executive, exercises strong judgment, anticipates needs before they arise, and takes pride in keeping priorities, communication, and execution aligned across the organization.This is an in-office role that works closely with the CEO and leadership team on a daily basis.What You’ll DoExecutive & Personal SupportManage calendars, coordinate meetings, and handle national and international travel for the CEO — often with last-minute changes and high complexityCoordinate multiple travel schedules, prepare detailed itineraries, and manage and submit expense reportsPrepare and submit executive expense reports and assist with financial statement coordination outside of GP LLCProvide personal assistant support to the CEO, including errands, event coordination, and family-related logisticsCoordinate logistics and materials for board meetings, including scheduling, agendas, and administrative processesAssist with executive events, charitable initiatives, and confidential business and personal mattersAdministrative & Operational ExcellenceEnsure seamless execution of day-to-day administrative tasks and executive office operationsCoordinate conference calls, quarterly meetings, and executive communicationsManage shipping and courier logistics (e.g., FedEx) for executive materialsOversee seasonal communications such as holiday cardsAssist with the preparation and distribution of executive publications and presentationsMaintain accurate filing systems and contact databasesTrack continuing education and certifications for executivesHandle all matters with the highest level of confidentiality and professionalismWhat You BringBachelor’s degree in English, Communications, or related field preferred5+ years of experience supporting senior executives or leadership teamsExceptional written and verbal communication skillsMastery of Microsoft Outlook, Word, and ExcelExperience coordinating complex travel and logisticsExperience with Concur is a plusHigh emotional intelligence, discretion, and professionalismAbility to thrive in a fast-paced, ever-changing environmentExperience working with high-net-worth individuals is a plusWhy Join Us?Work directly with visionary leadersBe part of a collaborative, high-performance cultureOpportunity to shape and grow a key role within the organizationGrubb Properties is an equal opportunity employer.
