Executive Assistant

Insight Global is seeking an Executive Assistant to the General Manager (GM) of Transportation Operations who will provide high-level administrative and coordination support to ensure the GM can focus on strategic priorities and operational leadership. This role serves as a trusted partner and primary point of contact for the GM's office, supporting daily operations, communications, scheduling, and special projects.This position is ideal for someone who is organized, dependable, eager to learn, and comfortable taking direction, with the ability to grow into increased responsibility over time.This role is Monday-Friday Onsite 8AM-4:30PMKey ResponsibilitiesExecutive & Administrative SupportManage the General Manager's calendar, meetings, and scheduling prioritiesCoordinate meetings, prepare agendas, and organize briefing materialsHandle travel planning, itineraries, and expense reportingTrack action items, deadlines, and follow-ups from meetingsCommunication & CoordinationServe as the primary point of contact for the GM's officeDraft and manage professional correspondence, emails, and internal communicationsScreen incoming calls, emails, and visitors with discretion and professionalismCoordinate communication between internal teams, leadership, and external partnersInformation & Document ManagementOrganize and maintain confidential files and recordsPrepare documents for leadership meetings, board sessions, and briefingsEnsure information is accurate, organized, and accessibleProject & Office SupportAssist with special projects and initiatives as assignedSupport coordination of meetings, events, and operational activitiesHelp improve office processes and administrative workflows over timeRequired QualificationsEducation: Bachelor's degree in Business Administration, Public Administration, Communications, or a related field OR equivalent professional experience (7+ years) providing executive-level administrative supportExperience: Minimum of 5 years of executive administrative support experience, preferably in a large, complex organization (transportation, public sector, or operations-heavy environment strongly preferred)Strong written and verbal communication skillsProficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)High attention to detail and ability to follow instructions accuratelyAbility to handle confidential information with discretionPreferred (But Not Required)Experience supporting senior leaders or executivesExposure to transportation, operations, or public-sector environmentsExperience with board meetings, travel coordination, or project supportWork EnvironmentOffice-based with occasional on-site operational visitsFast-paced environment with changing priorities
