We are looking for an experienced Real Estate Office Assitant to join our growing real estate team. If you have a background in the title industry and are ready to take on a vital role in our office, this could be the perfect opportunity for you! The ideal candidate will have solid real estate title experience, strong organizational skills, and the ability to manage multiple tasks efficiently. Key Responsibilities: Title Coordination & Management: Oversee all title-related aspects of property deals, from contract to closing. Liaise with title companies, attorneys, lenders, and agents to ensure a smooth transaction process. Review title commitments and address any issues, such as liens, encumbrances, or title defects. Coordinate title searches and ensure all necessary documentation is in place. Track deadlines and ensure compliance with contract terms and legal requirements. Assist with resolving any title-related problems that arise during the process. Communicate regularly with buyers, sellers, and real estate agents to provide updates and address questions or concerns regarding the title process. Ensure timely and accurate preparation of closing documents, title policies, and endorsements. General Office Responsibilities: Supporting staff with various projects and tasks. Managing correspondence, including emails and phone calls. Data entry and database management, ensuring accurate and up-to-date records. Basic bookkeeping duties, including expense tracking and reporting. Assisting with managing rental properties and handling tenant communication. Coordinating staff meetings, maintaining schedules, and tracking deadlines. Ordering and stocking office supplies to ensure the office runs smoothly. Key Traits We’re Looking For: Real Estate Title Experience – This is non-negotiable. You must have worked in a title office or similar environment and be familiar with the title process, from conducting title searches to preparing closing documents. Quick Learner – Able to pick up new tasks and systems quickly and efficiently. Team Player – Enjoys working collaboratively in a fast-paced environment. Strong Communication Skills – Both verbal and written, able to communicate clearly with clients, team members, and external partners. Organized – Skilled at managing multiple tasks, tracking deadlines, and keeping projects on track. Problem Solver – Able to address title-related issues and other challenges proactively. Adaptable – Thrives in a dynamic work environment where priorities can shift. Bilingual – Fluency in spanish is highly desirable. Bookkeeping Skills – Capable of handling basic accounting tasks, such as tracking office expenses and property management finances. Tech-Savvy – Comfortable with office software, title software, and systems that streamline workflow. Systematized – Strong ability to create and follow processes for efficiency and consistency. Great Multitasking Skills – Able to manage multiple priorities and projects with attention to detail. Positive Attitude – A team-oriented mindset with a friendly, client-focused approach.
