You will bring structure where there is complexity, anticipate needs before they arise, and continuously improve how we work.Why This Role MattersThis role is foundational to how Talent Acquisition shows up at Signet.When done well, you will:Elevate the candidate experience at scaleIncrease speed and quality of hiring decisionsEnable recruiters and leaders to focus on high-impact workBring discipline and excellence to how we hireCore AccountabilitiesCandidate Experience & Interview OperationsDeliver a seamless, high-touch candidate experience from scheduling for Executive Recruitment through background to offer stageManage complex scheduling across time zones, senior leaders, and panel interviewsCoordinate candidate travel, logistics, and communications with precision and professionalismEnsure interviewers are prepared with materials, context, and expectationsRecruiting Process ExecutionManage the TA Inbox, owning communication and relationships across multiple functions, levels, and geographiesManage candidate workflow within Workday (ATS), ensuring accuracy, timeliness, and data integrityMove candidates efficiently through the hiring lifecycle, including interviews, feedback, offers, and background checksPartner with Talent Acquisition to ensure speed, quality, and consistency across all processesMaintain high standards of confidentiality and data accuracyExecutive Support (VP, Talent Acquisition)Manage and optimize the calendar of the VP of Talent Acquisition, ensuring alignment to prioritiesCoordinate leadership meetings, interview debriefs, and key talent discussionsAnticipate scheduling conflicts and proactively solve for efficiency and focusServe as a trusted operational partner in managing time, priorities, and workflowsCross-Functional PartnershipCollaborate with Recruiters, HR Business Partners, People Operations, and hiring leadersAct as a connector across teams, ensuring alignment and clear communicationSupport recruiting initiatives including hiring events, onboarding coordination, and special projectsHelp troubleshoot system, process, or scheduling challenges in real timeProcess Excellence & ReportingTrack recruiting activity, candidate pipelines, and key metricsSupport candidate surveys and experience feedback loopsIdentify opportunities to improve workflows, reduce friction, and enhance efficiencyContribute to the evolution of recruiting processes and toolsExperience & Successful Profile2–5 years of experience in recruiting coordination, HR operations, or high-volume schedulingExperience working in an Applicant Tracking System (Workday preferred)Proven ability to manage high-volume, complex scheduling with multiple stakeholdersStrong organizational skills with exceptional attention to detail and follow-throughAbility to prioritize, problem-solve, and operate with urgency in a fast-paced environmentStrong written and verbal communication skillsHigh level of professionalism, discretion, and confidentialityLeadership CharacteristicsOwner’s mindset: takes accountability for outcomes, not just tasksOperational excellence: brings structure, precision, and consistencyCustomer focus: treats candidates and stakeholders with care and urgencyContinuous improvement: actively seeks better, faster, smarter ways of workingTeam-first approach: enables others to perform at their best
