Our team is looking for self-starting, motivational folks looking to grow with us!The branch Admin plays a pivotal role in the function and success of the branch. This position will have impact on billing, invoicing and all communication at the branch level. The efficiency of this role will have a direct effect on the success and profitability of the hosting branch.The Branch Administrative assistant serves as the first point of contact within most branches. The incumbent in this role will answer and direct incoming phone calls. They are responsible for invoicing and all monthly billing for the branch. Additionally, the branch admin assists new hires with general questions about the branch as well as escalating to their manager or HR when necessary. Branch Admins will create PO’s for new customers as well as call to collect on payments owed to the business.Competencies/SkillsBeing proactiveDisciplinedAble to meet deadlines Computer and computation skillsOrganized Attention to detail Able to work independentVerbal communication skills Time managementExcel Answering phones/switch boardResponsibilitiesCoordinate branch activities, manage day to day overall branch activities including transferring phone calls, answer general questions from branch employees, order supplies and other inventory, complete crew sheets for branch jobs, keep up with equipment information, enter/create customer PO’s, customer work authorization, review incoming paperwork for accuracy and completeness, enter daily billing for branch jobs, scan, copy, file documents, take service orders from incoming customers, make calls to collect unpaid invoices, issue purchase orders, verify invoice against assignment, perform items listed in month end closing, edit, update correct employee time sheets when necessary and branch manager request, answer vendor and customer questions, collect on payments owed to branch via phone or email.RequirementsQUALIFICATION REQUIREMENTSTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
