This role serves as a key point of contact for visitors and employees while supporting executive leadership with scheduling, coordination, and special projects. The ideal candidate is organized, professional, adaptable, and service-oriented, with strong communication skills and attention to detail.Key ResponsibilitiesExecutive & Administrative SupportProvide administrative support to executive leadership, including calendar management, meeting scheduling, travel coordination, and expense trackingDraft correspondence, prepare documents, and organize materials with accuracy and discretionCoordinate executive and management meetings, including agendas, logistics, and follow-up actionsServe as a liaison between leadership and internal teams to support effective communication and timely completion of tasksAssist with special projects and help prioritize incoming requests Front Desk & Office SupportManage front desk operations by greeting visitors, answering phones, and directing inquiriesProvide general information such as directions, contact details, and organizational resourcesReceive, sort, and distribute mail; coordinate outgoing deliveriesMaintain shared office resources, including meeting supplies, keys, and equipmentOrder, receive, stock, and distribute office supplies Human Resources SupportAssist with HR administrative tasks, including personnel filing, data entry, and confidential record maintenanceSupport recruiting and onboarding activities, including interview coordination and new hire logisticsAssist with HR reporting, audits, and basic payroll system entriesHelp organize employee events and prepare internal communicationsCoordinate HR-related meetings, interviews, and team calendarsPerform additional administrative and HR-related duties as assigned Knowledge, Skills, & AbilitiesStrong organizational and time-management skills with the ability to manage multiple prioritiesExcellent written and verbal communication skillsProfessional, customer-service-focused demeanorAbility to handle confidential information with discretionComfortable working independently and collaborativelyProficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint); Adobe Acrobat familiarity is a plusAdaptable and proactive in a fast-paced office environment Minimum QualificationsHigh school diploma or equivalent (GED) required1-3 years of administrative, office, or HR support experienceExperience supporting leadership is a plus but not requiredEquivalent combination of education and experience will be considered Work Environment & Physical RequirementsPrimarily office-based with front-desk responsibilitiesFrequent use of computers and standard office equipmentRegular interaction with employees, visitors, and vendors in person and by phoneAbility to sit or stand for extended periods as required
