Admin and Event Coordinator

Were looking for anAdmin and Event Coordinator (Contract)to join a global team supporting large-scale events and marketing initiatives. This is a hands-on, execution-focused role where youll help coordinate logistics, manage workflows, and keep cross-functional and administrative projects running smoothly. Youll work closely with internal teams and external partners to support high-quality events. The best candidates are highly organized, detail-oriented, and comfortable performing tactical and administrative work in a fast-paced environment. Location: This role requires 5 days in the company's Arlington, VA office (not negotiable). Term: The contract is expected to continue through the end of 2026 and there is potential to convert to a permanent position. Status: this role is open to U.S. citizens only. What Youll Do Manage administrative aspects of global events, coordinating logistics and execution for events, tradeshows, and marketing programs and supporting a range of priorities and complexity levels. Maintain and organize event schedules, shared calendars, and marketing assets to ensure information is current and accessible. Manage meeting and room scheduling for events, including handling internal and external requests and ensuring alignment across stakeholders. Track project timelines, milestones, and deliverables to ensure on-time execution across multiple initiatives. Coordinate with vendors and internal stakeholders to ensure clear communication and smooth program delivery. Identify and resolve issues or blockers, escalating when necessary to keep projects on track. The Quals Youll Need 3+ years of experience in event coordination, project coordination, or a similar role. Strong organizational and multitasking skills, with the ability to manage multiple projects simultaneously. Experience managing complex calendars, scheduling across time zones, and coordinating logistics. Familiarity with budgeting processes, contract submissions, purchase orders, and invoice tracking. Excellent written and verbal communication skills. Proven ability to build and maintain relationships with stakeholders, vendors, and partners. Proficiency in standard productivity tools (e.g., calendar management, spreadsheets, presentations, and documentation tools). Ability to assist with physical event setup, including lifting materials when required. Bonus Points Experience working in highly matrixed or cross-functional organizations. Familiarity with content management systems or website publishing tools. Experience supporting large-scale events or tradeshows with complex logistics. Exposure to design tools for creating event or marketing materials.
