Project Administrative Assistant
OverviewThe Project Administrator will support multiple active construction projects, primarily focused on managing badging and subcontractor paperwork. This role is critical to keeping job site access and compliance documentation organized across several projects, with a heavy emphasis on coordination with subcontractors. Must HavesStrong administrative experience in a fast-paced environment (construction or project-based preferred)High attention to detail when handling documentation, compliance forms, and badging requirementsComfortable following up persistently with subcontractors via email and phone to collect missing paperworkAbility to manage a high volume of repetitive administrative tasks with accuracy and consistencyOpen to a hybrid schedule and flexible to work on-site as needed (primarily North Charleston job site)Nice to HavesExperience supporting construction projects as an admin or project coordinator Familiarity with subcontractor invoicing or working with vendor paperworkExposure to federal construction environments or compliance-heavy documentationExperience working with badging systems, access control, or onboarding paperwork for job sitesExperience using project/document management systems (Procore, SharePoint, etc.) Day-to-Day ResponsibilitiesManage badging and site access documentation (approximately 75% of role), ensuring all workers are properly credentialed before entering job sitesCollect, review, and track subcontractor paperwork (PPW), ensuring all required documents (IDs, forms, attachments) are complete and compliantFollow up with subcontractors via phone/email to resolve missing or incomplete submissionsAssist with subcontractor invoicing support and small business documentation requirementsMaintain organized records of all documentation and ensure accuracy for audits and compliance trackingSupport multiple concurrent projects, helping keep administrative workflows running smoothly across sitesCoordinate with project teams to ensure documentation aligns with job site requirements and timelines
