Executive Assistant (Creative Operations & Event Support)

This role is a blend of creative production, operations, and event coordination, with a strong focus on executing high-quality branded materials under tight timelines.This is not a traditional assistant role. It is best suited for someone who thrives in a fast-paced, ever-changing environment, enjoys shifting between tasks, and takes pride in delivering polished, accurate work quickly and independently.Key ResponsibilitiesCreative & Label Production (Primary Focus)Create menu labels with allergen information for eventsDesign and format bag labels and nutrition labels for branded productsUtilize tools such as Canva, Avery.com, and SheetLabels.comEnsure accuracy, consistency, and brand alignment across all materialsExecute fast turnarounds for last-minute event needsEvent Operations & Administrative SupportUpdate event tracking charts in Google Sheets using data from 17HatsAssist with day-to-day event planning tasks to support the principal ownerSend calendar invites to staff with event detailsConfirm event logistics and delivery times with clientsSchedule post-event thank you emails and coordinate thank you giftsClient & Logistics CoordinationTrack shipments and proactively communicate tracking numbers and delivery updates to clientsEnsure timely and clear communication across all client touchpointsMarketing & Content CoordinationMonitor scheduled social media posts to ensure they are executed on timeUpload and organize event photos in shared drives for marketing useAssist with future Constant Contact email campaigns in collaboration with the ownerOperational & Financial SupportAssist with light bookkeeping tasks (QuickBooks experience is a plus)Support workflow improvements and operational efficiencies in collaboration with the ownerIdeal CandidateThis role is best suited for someone who:Enjoys working quickly and staying organized in a fast-paced environmentTakes ownership of their work without needing to be micromanagedIs comfortable shifting gears quickly, especially during rush or last-minute ordersHas a strong eye for design, layout, and visual detail (Canva)Can maintain accuracy under tight deadlinesCommunicates clearly and proactively in a remote settingIs both creative and operationally mindedPreferred Skills & ExperienceExperience with Canva or similar design toolsFamiliarity with Avery.com and/or SheetLabels.com (or willingness to learn quickly)Proficiency in Google Sheets / Google WorkspaceExperience with QuickBooks (preferred but not required)Familiarity with Constant Contact or email marketing platforms (a plus)Strong written communication skills for client-facing emailsWhat Makes This Role UniqueDirect collaboration with the business ownerA mix of creative design and operational executionExposure to corporate events, branded products, and marketing activationsOpportunity to contribute to workflow improvements and business growthA role where your work directly impacts client experience and brand perception
