Position Reports To: VP – Chief Financial Officer
POSITION PURPOSE
The Executive Administrative Assistant provides confidential and professional administrative support to the CEO, COO, and CFO to assist in the smooth and efficient executive functioning of the organization. This person will serve as a principal point of contact with the Board of Directors and will help coordinate committee meetings, prepare and keep critical documentation, and facilitate and support other key organizational functions.
ESSENTIAL FUNCTIONS AND BASIC DUTIES
Provide confidential administrative support. Composes, types, proofreads, edits and distributes routine correspondence and other communications. Prepares or assists in assigned reporting.
Act as backup for payroll processing and assist as needed.
Retrieve, open, screen and distribute incoming mail and other correspondence.
Maintain calendar, schedules and confirms appointments and meetings, make travel and lodging arrangements as necessary.
Receive and screen visitors and telephone calls.
Coordinate arrangements for and attend Board of Director, Credit Committee and Asset Liability Committee meetings to compose minutes.
Act as liaison for members of the Board of Directors. Communicate with members regarding meeting dates and locations, assist with Credit Union business as appropriate.
Gather and generate documents for distribution to the Board of Directors, utilizing the board portal platform.
Assist in coordinating logistics for all-staff and leadership meetings and events.
Utilize Microsoft Office 365 and other standard programs. Utilize red-line functions for editing.
Maintain Administrative policies on behalf of the executive team (Section 1000 of the Policy Manual).
Centralized ordering of supplies for the Corporate location.
PERFORMANCE MEASUREMENTS
Maintain confidentiality of information.
Meet deadlines related to correspondence.
Maintain policies and procedures, reports and minutes. Ensure they are organized, complete and up to date.
Maintain appointment calendars efficiently and handle conflicts in a professional manner.
Make arrangements as noted above in a timely and cost-effective manner.
QUALIFICATIONS
Education/Certification:
Bachelor’s degree in a business related field or equivalent experience is preferred.
Five to eight years of similar or related experience
Skills/Abilities:
Strong interpersonal and communication skills
Adaptability and flexibility
Well organized with ability to prioritize
Proficiency in Microsoft Office suite
Attention to detail
Ability to work independently
Ability to maintain an effective and efficient workflow
PHYSICAL ACTIVITIES AND REQUIREMENTS OF THIS POSITION
Talking: Especially where one must frequently convey detailed or important instructions or ideas accurately, loudly, or quickly.
Average Hearing: Able to hear average or normal conversations and receive ordinary information.
Average Visual Abilities: Average, ordinary visual acuity necessary to prepare or inspect documents or products, or operate machinery.
Physical Strength: Active work; standing, reaching, kneeling, stooping, bending and manipulating small and large objects most of the time. Requires occasional lifting (>25 lbs).

Pay: $22.75 - $34.12 per hour
