POSITION SUMMARY:Provides secretarial and clerical support for Career & Technical Education (CTE) staff and programming (Perkins Grant, High School Programs, Marquette-Alger Technical Middle College (MATMC), Work-Based Learning (WBL)) and Career Guidance. Serves as Administrative Assistant for Director of Career and Technical Education.ESSENTIAL DUTIES AND RESPONSIBILITIES:Provide secretarial and clerical support for CTE, MATMC, and WBL staff and programsAssist with scheduling and coordination of high school classes at NMU's Jacobetti and Northern CenterCompile data and financial reports for Perkins Grant submissionsMaintain detailed database and records for internship students, contacts and placementsEnsure paper records are filed and accessible by CTE, MATMC, and Work-Based Learning staffUpdate Career and Technical Education Information System (CTEIS) database informationParticipate in CTEIS conference calls to stay up to date on current reporting requirementsConduct follow-up surveys with CTE and MATMC graduates and document resultsProvide support for scheduling, preparing for, and creating materials for MATMC and CTE eventsDirect students and parents to requested resources and address their questions as appropriateAssist with the development, preparations, logistics and delivery of annual Career Day eventMake/manage conference, hotel, and car reservations for staffCollect and process time cards and time logsPrepare correspondence and documents as requestedScan and file documents in electronic storage systemComplete special projects as needed, such as assisting with updating online resources for CTE and MATMCPerform general administrative/clerical duties such as filing, photocopying, faxing, and creating purchase ordersAssist with Marquette-Alger RESA website updatesInteract with the public in a positive, courteous, and professional manner via email, phone, and in personProvide front desk coverage as requested/assignedPerform other duties and responsibilities as assignedOTHER KNOWLEDGE, SKILLS, AND ABILITIES:Demonstrated experience exercising confidentiality and sound judgment in dealing with local districts, staff, students, and operationsAbility to work on multiple projects and maintain proactive communication with stakeholdersAbility to deal with issues in a fair manner, treat diverse populations and personalities with dignity and respect, and act in a highly ethical mannerAbility to work in a fast-paced environment yet maintain flexibility in thinking and actionsDetail-oriented with strong analytical skills; skilled with Excel and/or Google SheetsMINIMUM QUALIFICATIONS:Post-secondary experience or Associate Degree in relevant areaPrior secretarial/office experienceStrong accounting or finance backgroundProficient computer/software skills including Microsoft Office,, PowerPoint, Google Suite, and ZoomExcellent filing and organizational skillsStrong verbal and written communication skillsProfessional attitude and appearancePREFERRED QUALIFICATIONS:Bachelor's Degree in relevant areaExperience in / knowledge of Career and Technical EducationExperience with grant applications, reports, and proceduresKnowledge of fiscal procedures (POs, invoicing, coding expenses, etc.)Experience with setting up for meetings, trainings and workshopsSPECIAL CONDITIONS: Perform position duties and functions while upholding confidentiality of privileged and sensitive informationTERMS OF EMPLOYMENT: Full time position.
