Accuracy and reliability are critical in our business.We are looking to build a long-term working relationship with someone who takes ownership of their work and grows alongside the company.About the RoleWe are hiring an Ecommerce & Operations Virtual Assistant to manage daily ecommerce operations and customer support across multiple sales channels including online marketplaces and our WordPress website.This role focuses on order administration, customer communication, basic website updates, and ongoing administrative support so the owner can focus on fulfillment and strategic growth.The ideal candidate is detail-oriented, calm under pressure, trustworthy, and communicates with customers in a respectful, patient, and professional manner.Key ResponsibilitiesEcommerce Operations & Order AdministrationLog into Walmart Marketplace, Amazon Seller Central, and WordPress dailyReview and organize all orders across channels so they are ready for warehouse fulfillmentCreate and maintain daily order lists in Google Sheets, including SKUs, customer names, and key notesPrepare shipping labels and ensure tracking details are properly updatedMonitor marketplace issues such as claims, returns, price competitiveness, and order adjustmentsFlag unusual patterns, errors, or operational issues early and provide clear summaries to the ownerRefunds will be reviewed and processed directly by the ownerCustomer Support & CommunicationManage customer messages from Walmart and AmazonRespond to customer emails and live chat inquiries professionally and promptlyHandle order changes, sizing questions, and general support inquiriesAnswer inbound phone calls when required, take clear messages, and escalate urgent mattersMaintain a calm, friendly tone appropriate for senior customers and caregiversWordPress Website Updates & MaintenanceConfidently navigate WordPress and WooCommerceUpload products using provided images, pricing, and detailsSupport website upkeep including formatting corrections and spotting content issuesCreate and publish blog posts using AI tools and owner guidanceAssist with basic SEO tasks and updates in Google Search Console when requestedInvoicing & Administrative SupportUpdate invoice numbers and dates using owner-provided templatesMaintain organized and accurate records in Google Sheets and NotionAssist with structured workflows and documentation inside NotionComplete simple posting or administrative tasks when requestedResearch & Outreach SupportBuild lists of medical supply businesses, clinics, and related organizationsGather names, emails, phone numbers, and organized notesPrepare draft outreach emails for owner reviewSupport LinkedIn and research tasks as trainedTools You Will UseWalmart MarketplaceAmazon Seller CentralWordPress + WooCommerceGoogle SheetsGoogle Search ConsoleClickShip (shipping labels)NotionEmail and live chat platformsQualifications & Skills RequiredStrong written and spoken English with professional phone etiquetteHands-on experience with WordPress (must navigate confidently)Experience with ecommerce platforms (Amazon Seller Central and/or Walmart Marketplace preferred)Strong attention to detail and ability to manage many small daily tasksCalm, respectful communication styleHigh integrity and confidentialityComfortable following checklists and structured workflowsPreferredExperience with WooCommerceExperience with shipping workflows, tracking, and order managementBasic SEO and blog publishing experienceExperience handling sensitive customer informationPrivacy & TrustYou will handle customer names, order information, and business operations data.
