Legal Administrative Assistant

A NYC law firm is seeking a Legal Administrative Assistant to support litigation Attorneys. The role will provide administrative support to associates and partners of the firm.Responsibilities: Act as the administrative point of contact between the attorneys and internal/external clientsAnswer and respond to incoming calls on behalf of assigned attorneysPrepare, edit, and format correspondence, presentations, spreadsheets, memos, and other documentsPrepare labels for packages and coordinate courier/messenger deliveriesArrange complex travel arrangements/accommodations as required and create detailed travel itineraries for assigned attorneysOrder catering for meetings as necessaryProcess and track vendor/client invoices in the Firm’s check request system and resolve any billing issuesSubmit attorney expenses for reimbursementProofread and enter time entries in the timekeeping system for assigned attorneysProofread and edit client bills monthly and assist in resolving billing issuesPrepare new vendor agreement forms and assemble required documentationMaintain attorneys’ calendars by arranging and/or adjusting meetings, and providing reminders as necessaryManage business contacts and development activities through IntappPerform other administrative duties such as printing, copying, scanning, and filing documentsAssist with planning and executing internal and external eventsAssist with special projects across various departmentsNotarize necessary documents as neededProvide backup support for other AssistantsRequirements:Bachelor’s degree preferred and 1 - 3 years of experience in an administration roleProficient in Microsoft Outlook suiteExcellent troubleshooting, organizational, and planning skills; strong attention to detailAbility to demonstrate effective interpersonal and communication skills, both verbally and in writingAbility to work well independently, as well as effectively within a team
