Personal Assistant - Horse Racing

The ideal candidate will be responsible for a range of activities which will assist this organization's leadership (UHNW Family Office). You must have experience with race horses or horse racing to be considered. You must live in, or be open to relocating to, the Greater Houston area and have at least 5 years of experience as a Personal Assistant to be considered. The office location is near 290 & HollisterESSENTIAL RESPONSIBILITIESHandle tasks such as organizing meals, grocery shopping, mail pickup, packing and unpacking during travel, organizing laundry when traveling, and other administrative workCoordinate and make travel arrangements to include, but not limited to, booking hotels, drivers and car services, plan itineraries, make reservations at restaurants, and pre-stock items needed. Coordinate plane catering as needed.Event Planning – plan events and catering, invitations, and decorations and handle all RSVPsMaintain schedules and calendars for the household both written and digitalMaintain inventories of goods, update with insurance company, and keep binders with pictures and item receiptsRun various errands during the week and occasionally on weekendsManage household, including scheduling and overseeing regular services, deliveries, and installationsLiaise with the Family Office and the other company personnel as neededManage vehicle maintenance regarding insurance, inspections, oil changes, gas and registrationsManage all routine house maintenance items – keep schedule of items requiring routine maintenanceMaintain tickets/suites for all sports and eventsMaintain pet care – vet appointments, feed, schedule weekly bathing, take to all vet appointments and housesit when neededMail – open daily and sort and respond as needed; make returns as neededPurchasing as needed for the house.Screen and return phone calls and follow up on purchases and returnOther duties may be assignedQUALIFICATIONSThree (3) to ten (10) years related experienceDemonstrate utmost confidentiality and discretionStrong interpersonal skillsExcellent verbal and written communication skillsMust be very flexible, hands on, and a multitaskerMust have excellent attention to detail and excellent organizational skillsProactive, always looking ahead at what needs to be doneExcellent follow-up skillsMust have a solid ability to problem solve, think creatively as new projects and challenges ariseMust have a strong sense of ownership and accountabilityResourceful and know when/where to seek help or adviceTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
