The Safety Admin will manage the organization’s daily operations by actively engaging with employees to identify existing issues and offer viable solutions.Responsibilities:Coordinate Safety Department Travel: Airline Flights, Hotels, CarsProcess Expense Reports (charges to cc after approval)Manage getting DocuSign documents signed and to appropriate personnelCorporate Documents – Organize, Minor updates as directed, Maintain Safety Managers GuideMeeting / Minutes: Safety Committee, Events Committee, RCA’sClick Safety for Training – Assign appropriately to employees/purchase credits as needed/update or remove personnel in Training Matrix/Keep Training Matrix up to date/Keep running log of active and used credits/remove trainings to refund credits to employees no longer with us/Follow-up communication with employee’s and managers with outstanding trainings/Upload certificates to individual profiles in Training MatrixMaintain relationships with our landlord and vendors and oversee office repairs and upgrades as needed. Ensure that our corporate facility is operated safely, efficiently, and cost-effectively.Coordinate Site Access and Badging for all Oregon projectsOrder all Company Swag for OregonCoordinate offsite events (i.e., team building, picnics, social events, holiday party)Corporate Gifts during holiday seasonAssist with questions from other employees and serve as key contact to ensure all requests are responded to in a timely mannerNew Hire Onboarding – Safety Department Order equipment, MS and Bluebeam licenses.Work with IT for network access, email and computer configurationWork with Safety Director to obtain PPEDistribute Key card accessMaintain New Hire checklistEmployee Offboarding – Safety Department Ensure all equipment, keys are returnedWork with IT to ensure network access, and email is discontinued.Admin duties- remove from Org chart, contact list, badge access, etc.Special projects as requested by Office Manager, Corporate Safety Manager, Safety Director Qualifications:High School Diploma RequiredTrack record of organizing and directing multiple teams and departmentsHighly experienced with Excel or Google Sheets for reporting and analytics Required Skills:Self-starter with ability to manage multiple priorities in a fast-paced environmentDetail OrientedLeadership SkillsExcellent Verbal and Written Communication SkillsCommunicative and collaborative (team player)Time management and task completion skillsHas experience and knowledge of best practicesAdaptable and resourceful in a dynamic environmentProfessional demeanorExtensive knowledge of office management procedures.Proficient with Microsoft Office Suite or related software.Strong critical thinking and problem solvingTechnically savvyStrong Verbal and Written Communication Skills
