Job Title: Accounts Payable SpecialistEmployment Status: ExemptPosition Summary The Accounts Payable Specialist is responsible for accurately processing and maintaining accounts payable records using ComputerEase. This role supports financial operations by ensuring timely invoice entry, vendor communication, and collaboration with internal teams.Key Responsibilities Enter and process subcontractor billings, supplier invoices, and overhead expensesReview, reconcile, and adjust billing discrepancies; communicate directly with subcontractors and vendorsRespond promptly to vendor inquiries and resolve issues efficientlyCollaborate with Project Managers to address billing-related questionsGenerate accounts payable reports and maintain organized financial recordsPrepare account analyses to support project meetings and financial reviewsAssist with monthly closing processesProcess monthly vehicle expenses and employee expense reportsClose out project accounts upon receipt of final paymentProvide backup support for phones, mail, and general Finance Department dutiesPerform additional tasks as assigned by Finance ManagementQualifications Associate degree in Accounting or equivalent work experience requiredStrong basic math and reconciliation skillsProficiency in Microsoft Office, email, and internet applications (ComputerEase experience preferred)Excellent customer service and professional communication skillsStrong organizational and time management abilitiesAbility to work independently with minimal supervisionSuccess Factors Reliable attendance and adherence to company policies and proceduresProactive approach to taking on additional responsibilitiesEffective time management with a focus on efficiency and cost awarenessContinuous learning mindset with the ability to apply new skillsSound judgment and timely decision-making while keeping stakeholders informedStrong problem-solving skills with the ability to analyze and resolve issuesAbility to prioritize tasks and meet deadlines consistentlyClear and professional verbal and written communicationCommitment to accuracy, quality, and achieving established goalsPowered by JazzHR
