Office Assistant

Job Description :This work depends on strong coordination between the field and the office. We are seeking a high energy, detail-oriented, self-starter with 3-5 years of administrative experience and a strong customer service background to support daily administrative operations. This individual will serve as the primary point of contact for incoming calls and visitors, provide direct administrative support, and help ensure the office runs smoothly and efficiently.This position is on site 5 days a week in Washington, DC.What You'll DoAnswer and route calls from clients, vendors, and field crewsGreet visitors, subcontractors, and deliveriesHandle incoming/outgoing mail, packages, and job-related documentsKeep job files, contracts, and office records organizedManage the CEO's calendar, meetings, and remindersHelp schedule meetings, site visits, and occasional travelAssist with preparing documents, reports, and emailsTrack office and basic job-related supplies; place orders as neededCoordinate with vendors, subcontractors, and service providersSupport HR and finance with onboarding paperwork, timesheets, and filingAssist project managers with admin tasks (documents, coordination, follow-ups)Help keep the office clean, organized, and running efficientlyQualifications & SkillsHigh school diploma or equivalent required; associate degree preferredMinimum 3-5 years of administrative, office assistant, or receptionist experienceStrong organizational and time-management skillsExcellent verbal and written communication skills (Spanish bi-lingual a plus)Proficiency with Microsoft Office (Outlook, Word, Excel)Professional demeanor with strong customer service orientationAbility to multitask, prioritize, and work independentlyBenefits5 Sick days annually5 PTO days annually8 Paid holidays
