Contracts Administration Clerk – Construction Industry Overview: We are seeking a detail-oriented Contract Administration Clerk. In this role, you will be responsible for ensuring the accuracy and timely completion of key administrative tasks that support our operations, with a specific focus on administering, tracking, and managing tasks through our standardized Contract Process. You’ll work closely with project managers and subcontractors to prepare and oversee essential documentation, making a significant impact on project efficiency. This position also provides backup support for receptionist duties when needed. Key Responsibilities: Subcontract Preparation and Mailing Ensure the accurate preparation and timely mailing of subcontracts to subcontractors. You will be accountable for maintaining efficiency and precision in this process, as well as ensuring deadlines are met. Change Orders Preparation and Mailing Ensure the accurate preparation and mail subcontract change orders with the same focus on accuracy and timeliness. The role requires close attention to contractual details to ensure all changes are properly documented. Documentation Processing Receive and enter check paperwork, fully executed subcontracts, change orders, warranties, Lien Law documents, and waivers into the system. You will be the point person for ensuring that all items are properly logged and tracked to keep projects moving smoothly. Insurance Compliance Review and enter subcontractor insurance certificates to ensure they meet company requirements. You will help maintain our commitment to safety and regulatory adherence by verifying that all insurance documentation is in order. Receptionist Support Serve as the backup receptionist when needed, providing phone and front desk support, while continuing to assist with administrative tasks. Requirements: A minimum of 1 year of experience in a similar administrative role. At least 1 year of experience in the construction or trades industry. Strong organizational skills with high attention to detail. Ability to manage multiple tasks and deadlines that have competing (and at times changing) priorities Excellent communication skills and ability to work well with diverse teams.
