Job Overview
This position is a key team player in our mission to provide the highest standard of care and service to our patients; and ensures that the patients' experience with our practice is seem-less and exceptional from start to finish.
Responsibilities
**The Surgery Scheduler-Front desk coordiator must have attributes of being detail-oriented, organized, efficient, proactive, good communicator and good team player.**
This position is responsible for the following:
Greets each patient warmly and sincerely
Courteously and promptly answers inquiries and handles appointment requests in person, by phone, by EMR, and via online chat
Anticipates and fulfills the needs of each patient in a timely manner. Treats each patient respectfully, thoughtfully, and graciously at all times.
Performs check-in and check-out of patients
Schedules office and surgical visits accurately. Schedules preoperative and postoperative visits accordingly.
Obtaining prior authorizations for surgery
Inputs and accesses data in practice management and appointment scheduling system
Manage medical records and patient information within HIPPA guidelines.
Manage patient pre-op responsibilities, and generate all necessary paperwork
Coordinating care with other care providers, facilities (e.g. ASC, imaging facilities, referred physician offices, etc.)
Checking patient clearance and coordinating any preoperative needs.
Interacts with insurance companies by phone or electronically regarding pre-authorizations, coverage, and billing, and other related activities
Explains financial and cancellation policies and cost estimates for out-of-pocket procedures to patients
Process payment transactions
Check patient insurance and eligibility
Able to explain deductibles, copays, coinsurance to patients
Fax, scan and input documents into patients' medical charts
OTHER DUTIES INCLUDE:
Performs patient intake and inputs patient information into the electronic medical record system
Cleaning and sterilizing of instruments
Cleaning of exam rooms between patients
Prepares patients for physician examination (i.e. taking a history, performing a basic exam of vision, pupil assessment, motility, confrontational fields)
Preparation of office OR or providing support during in-office surgeries
May cross train to perform other duties as necessary to support operations of the practice
Perform opening and closing duties per practice protocol
Protects the privacy of patients at all times
Qualifications
Must have high school diploma or equivalent
Must have minimum of 1-2 years of experience in the service industry
Experience in the healthcare or aesthetic industry is desired
Must be fluent in oral and written English
Must be proficient in working with the computer, internet, Microsoft Office
Must be able to prepare and review written documents accurately and completely
Must be able to communicate with others using clear and professional language
Must be polished and professional: hair must be neat and professional appearing; no perfumes; uniform must be clean and professional
Must be authorized to work in the US
