Operations AdministratorDepartment:Product Support & Operations - FacilitiesReports to:Facilities Operations ManagerLocation:Wendell, NCPosition Status:Full-timeStatus:Hourly, non-exemptManagement Level:Non-ManagementJOB SUMMARYKIOTI Tractor is seeking an Operations Administrator to join our team onsite in Wendell, NC. The Operations administrator supports and assists in various administrative tasks across the organization. This individual will organize and assist in all aspects of operational administrative duties and sets standards for maintaining records, logs, compliance, invoices, purchase orders, budget tracking, COIs, and training records for operations-related projects across all locations that KIOTI manages.KEY RESPONSIBILITIES OF JOBWork directly with relevant staff members across various departments and KIOTI-operated sites, including peers and managementRespond to all Operations-related issuesand requests in a professional, efficient, and timely mannerProvide support to all teams in maintaining training matrices / recordsand back to work / certification documentationOrder and maintain stockin relation to the facilities management servicesEnsure Accounts Payable (AP) cycle completion regarding invoices and payment to contractors and vendors according to department Standard Operating Procedures (SOPs)Process and maintain approvals according to department SOPsAssist in developing operations and maintenance policies, procedures, and workinstructionsProvide reports accordingly regarding site conditions, area assessments, projectwork, and specific goals for the reporting periodRoutinely review existing operational policies and SOPsto maintain current and accurate recordsMaintain and track budget and spending trends. Communicate budgetary needs and constraints in a timely and effective manner to proper management.Maintain inventory of supplies, tools, and consumables for on-sitemaintenance teams across KIOTI locationsAssist with compliance in all aspects of governmental agency requirements across all KIOTI locationsOversee all aspects of KIOTI’s fleet pertaining to the management of driver logs, accurate and up-to-date records, registrations, purchase documents, etc.Perform other related duties as assignedEDUCATIONAL AND PHYSICAL REQUIREMENTSAt leasttwo years of progressive office/operations administration or related experience requiredHigh Schooldiploma or equivalentExcellent verbaland written communication skillsProficient in Microsoft OfficeSuiteExcellent organizational skills and attention to detail
