Administrative Assistant IIThe Office of Graduate Studies at Dakota State University is seeking a detail-oriented and driven Administrative Assistant II to support the operations of our graduate programs. This role is essential in ensuring the smooth coordination of doctoral admissions, program tracking, event planning, and communication with and between the Graduate community. The ideal candidate will be highly organized, collaborative, and committed to supporting graduate education. Key Responsibilities: Provide administrative support to graduate program committees, including: Creating evaluation rubrics for reviewing doctoral candidates Preparing and organizing application files for review Monitoring committee progress to ensure timely application evaluations Manage communications related to admissions: Send admission decision letters Track student acceptances and enrollment decisions Run reports to monitor program inquiries, student progress, and enrollment trends Process graduate applications not made to a degree or certificate program Review and organize admission, enrollment, and other student and program progress data Organize and announce dissertation defenses Track and maintain records of graduate assistantships, and screen candidates for placement Supervise graduate assistants in graduate office Plan and coordinate doctoral residency agendas and other Graduate Studies events Manage dissertation dissemination and doctoral candidate final completion process Process travel reimbursements and departmental purchases Collaborate with graduate counselors and marketing staff to develop and execute communication plans for prospective and current students Qualifications: Team oriented and collaborative Exceptional customer service skills High attention to detail and accuracy in all tasks Strong leadership, organizational and management skills Proficiency in Microsoft Office Suite and data reporting tools Excellent written and verbal communication skills Ability to work independently and collaboratively across departments Must be authorized to work in the U.S. Sponsorship is not available for this position.
