This role goes beyond traditional administrative support—you will act as a strategic partner, trusted advisor, and operational backbone to ensure the executive and leadership team operate at peak effectiveness.This position requires exceptional organizational rigor, sound judgment, and a proactive mindset. The ideal candidate is detail-oriented, highly accountable, and thrives in a fast-paced, high-stakes environment where accuracy is critical.You will report to our Executive Vice-President, Interactive Graphics, Media & Entertainment, and this position is hybrid, working from our San Francisco office.ResponsibilitiesManage and optimize the executive’s complex calendar, including prioritization, conflict resolution, and strategic time management across global time zonesServe as a gatekeeper and advisor on time allocation, ensuring alignment with business prioritiesAnticipate needs, identify potential issues, and proactively implement solutions before problems arisePrepare the executive for meetings with briefings, agendas, and relevant materialsHandle highly confidential information with discretion and sound judgmentPartner closely with the Chief of Staff to drive operating cadence, including leadership meetings, agendas, follow-ups, and communicationsTrack action items and ensure timely completion across the leadership teamMaintain meeting logs, communication channels, and documentation to support organizational clarityProvide occasional meeting support (notes, summaries, distribution of materials)Lead end-to-end logistical planning and execution of leadership events, including:Quarterly leadership team offsitesAnnual Extended Leadership Team (XLT) offsiteOwn all event logistics: venue sourcing, travel coordination, scheduling, materials preparation, on-site execution, and post-event follow-upsPartner with the Chief of Staff and leadership team to support the delivery of the agenda and contentEnsure seamless execution by anticipating needs, managing timelines, and handling all operational details with precisionDevelop contingency plans and troubleshoot in real time to ensure a high-quality, frictionless experienceCoordinate complex domestic and international travel, including detailed itinerariesManage expense reporting, departmental budgets, and invoice processingServe as point of contact for departmental purchases and vendor coordinationEnsure timely processing and accuracy of all financial and administrative tasksAct as a liaison between the executive and senior leaders, internal teams, and external partnersBuild strong cross-functional relationships and collaborate effectively with other Executive AssistantsCommunicate clearly, professionally, and with precision across all levels of the organizationHelp drive alignment, clarity, and efficiency across teamsIdentify opportunities to improve processes, systems, and ways of workingDemonstrate ownership and accountability for outcomes—not just tasksMaintain a high bar for quality, accuracy, and responsiveness in all deliverablesMinimum Qualifications6+ years of experience supporting C-level executivesProven experience managing complex calendars, global travel, and executive operationsStrong track record of operating in fast-paced, high-demand environmentsExceptional organizational skills and attention to detailExperience planning and executing large-scale events and offsitesLearn MoreAbout AutodeskWelcome to Autodesk! For U.S.-based roles, we expect a starting base salary between $94,000 and $168,190. Offers are based on the candidate’s experience and geographic location, and may exceed this range.
