Executive Legal Assistant
A fast-paced and highly respected law firm in White Plains is looking for an exceptional Executive Assistant to support a senior partner in a dynamic legal environment. This is an exciting opportunity for a polished, proactive professional who thrives on keeping operations running seamlessly, anticipates needs before they arise, and brings precision, discretion, and professionalism to every task.If you excel at managing complex schedules, coordinating high-level travel, handling confidential matters, and supporting legal operations with accuracy and efficiency, we’d love to hear from you.What You’ll DoCoordinate seamless domestic and international travel arrangements, including flights, hotels, transportation, and detailed itinerariesManage the Partner’s demanding calendar, scheduling meetings, appointments, and events while proactively resolving conflictsPrepare meeting agendas, organize materials, and coordinate virtual and in-person meeting logisticsCreate, format, and proofread presentations and documents with exceptional attention to detail and professionalismServe as a key point of contact for internal and external communications, exercising discretion and sound judgmentMaintain organized electronic and physical filing systems, records, and meeting notesOpen new legal matters and conduct conflict checks in compliance with firm policies and proceduresProcess expense reports and monitor reimbursements accurately and efficientlyProvide project support and assist with additional responsibilities in a collaborative, fast-moving environmentWhat We’re Looking For7+ years of experience supporting executives or partners within a law firm or professional services environmentAbility to work onsite at least 4 days per weekAdvanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)Strong organizational, communication, and multitasking abilitiesExcellent judgment, professionalism, and ability to handle highly confidential informationExperience with legal file management and conflict checks preferredBackground in products liability, premises liability, or corporate law strongly preferredTech-savvy, detail-oriented, and adaptable in a fast-paced settingAbility to work independently while collaborating effectively with a teamWhy Join Us?You’ll become part of a collaborative and energetic legal team where your expertise and initiative will make a direct impact.
