Our four golf courses are conveniently located around the metro area to offer unparalleled access to our nationally recognized courses – Heron Lakes Golf Course, Eastmoreland Golf Course, Rose City Golf Course, and Colwood Golf Center. We have been meeting the recreation and golf needs of the Portland community since 1918, while also having a long history of holding various high-profile golf events, including four USGA national championships. What You Will Do The Administrative Assistant will provide comprehensive administrative support while overseeing the accurate and timely processing of payroll for the organization. Assignments may involve work of a confidential nature and require a working knowledge of Company and department policies, practices and procedures. In addition to payroll duties, the Administrative Assistant will assist with general office tasks and special projects in support of the Portland Parks Golf Administration team. Essential Duties and Responsibilities Review employee timesheets on a scheduled basis to ensure no missed punches or entry errors, as well as compliance with company policies and applicable labor laws. Collect and assemble payroll information including point of sale reports, and lesson and gratuity logs, and ensure accurate reporting of hours and tips on timesheets. Analyze logs and reports in order to identify any data entry errors alongside the Human Resources Manager to resolve payroll discrepancies if they arise. Ensure all payroll documentation is organized, filed, and easily accessible for audits or management reviews. Stay up to date with changes in payroll laws and regulations to ensure ongoing compliance. Support management with special projects as necessary. This support may involve tasks related to preparing reports, filing, and data entry for Regional General Manager and other members of the administration team. Ensure accuracy and completeness of data on various reports. Organize and maintain confidential records pertaining to operations, personnel, materials, equipment, etc. Assist in departmental projects and perform other job-related duties as directed by management. Who You Are Proficiency in Microsoft Office Suite (Excel, Word, Outlook). Strong attention to detail and the ability to handle confidential information with discretion. Excellent organizational and time management skills. Demonstrated quality written, verbal, interpersonal, telephone communication skills. Ability to analyze and solve problem Ability to efficiently handle multiple duties under pressure with minimal supervision Detail oriented, organizational and time management ability. Positive attitude, professional manner and appearance in all situations. Must have the ability to: Read and write (English) Communicate verbally with staff members and/or customers with or without the use of two-way radios.
