The Litigation Legal Assistant provides the essential administrative and organizational support that keeps the Litigation team's cases moving through the complexities of active litigation.Role SummaryThe Litigation Legal Assistant provides administrative and organizational support to the Litigation Attorney and Litigation Paralegal, handling the day-to-day tasks that keep litigated cases on track. This is a more demanding role than the Hybrid Legal Assistant, requiring familiarity with the full litigation lifecycle — discovery filing, deposition logistics, CME coordination, mediation scheduling, and trial preparation support.The Litigation Legal Assistant receives day-to-day direction from the Litigation Attorney and works closely with the Litigation Paralegal on shared case responsibilities. This role formally reports to the Senior Partner for HR matters.Core ResponsibilitiesFiling & Court Portal SupportFile attorney-reviewed discovery responses, motions, pleadings, notices, and other documents through the Florida e-Filing Portal.When filing discovery responses, file only the required documents (Notice of Filing Answers to Interrogatories, Responses to Requests for Production, Privilege Log). Send actual interrogatory answers and document production links to opposing counsel via email per firm protocol.Monitor the e-Filing Portal for confirmation of successful filing and resolve any rejected filings promptly.Upload all filed documents to Filevine and confirm they are correctly placed in the case file.Calendar & Scheduling SupportCalendar all events in Filevine using firm naming conventions for depositions, hearings, mediations, CMEs, and trial dates.Confirm all scheduled events the day before with all parties (client, opposing counsel, court reporter, mediator, CME doctor) and update calendar entries to confirmed status.Cancel events when directed, updating entries with XLD notation and explanation in the memo field.Schedule hearings through county-specific court portals (Court Map for Miami-Dade, CMS Portal for Broward, Online Services for Palm Beach).Schedule attorney calls with clients and treating physicians as directed.Enter all events in the Pleadings calendar first (the master calendar), then add the attorney.Deposition & CME SupportCoordinate with Universal Court Reporting for deposition and CME scheduling, including interpreter requests, video attendance requests, and confirmation emails with assignment numbers.Prepare physical or digital deposition folders per firm standards (left side and right side organization).Send deposition and CME confirmation letters to clients with all details including deposition prep YouTube using HonaConfirm with defense counsel they ordered interpreter aSave all Universal Court Reporting correspondence and confirmations to Filevine. Add confirmation/job# to calendar entry.Client CommunicationServe as an additional point of contact for clients, responding to routine inquiries and providing status updates as directed.Send letters and correspondence to clients regarding appointments, depositions, CMEs, mediations, and PFS matters.Follow up with clients on outstanding items (signed authorizations, discovery questionnaires, PFS approval letters).Communicate with professionalism and empathy throughout the litigation process.Document Management & CorrespondencePrepare, format, and proofread correspondence, letters, and legal documents as directed.Scan, upload, and organize documents in the appropriate Filevine case folders.Ensure all letters and correspondence are saved in Filevine — no exceptions.Prepare and mail envelopes for certified mailings and general correspondence.Print case photos in color as needed.Compile and organize document production packages for delivery to opposing counsel via Filevine links.Med Chart & Records SupportAssist the paralegal with Med Chart preparation — calling providers to verify balances, requesting updated bills, and tracking outstanding requests.Request updated PIP logs, health insurance liens, and lien payoff amounts as directed.Request medical records, bills, and imaging from providers and track receipt.Ensure treating physicians receive all records and imaging ahead of appointments.Daily Attorney PreparationReview the next day's calendar for the assigned attorney, identifying upcoming calls, hearings, depositions, deadlines, and appointments.Print and organize required documents and prepare attorney working folders.Identify any outstanding items that need attention before the next day's events.Settlement & Case Closure SupportAssist with filing Notices of Settlement and coordinating with the court and judge's office as needed.Prepare release packages for client signature once attorney-approved.Assist with preparing or requesting Joint Stipulations for Dismissal and Final Orders of Dismissal.Technology & SystemsFilevine — document management, calendar entries, activity notes, task tracking.Florida Court e-Filing Portal — all court filings.Court scheduling portals — county-specific hearing scheduling.Universal Court Reporting — deposition and CME coordination.Outlook email (with Filevine plugin) — correspondence logged to Filevine.Drives as needed — templates, photos, reference materials.Microsoft Office (Word, Outlook, Excel) — correspondence, documents, tracking.Required QualificationsHigh school diploma or equivalent required; associate's degree or higher preferred.Minimum 2 years of experience in a legal assistant role in a litigation-focused law firm. Personal injury experience preferred.Familiarity with Florida civil litigation procedures, including discovery filing, court hearings, depositions, and mediation logistics.Experience with the Florida e-Filing Portal.Strong organizational skills with the ability to manage multiple tasks across multiple active cases.Attention to detail and accuracy in filing, calendar management, and document organization.Solid written communication skills for preparing correspondence and legal documents.Proficiency with Microsoft Office (Word, Outlook, Excel).Proficiency with Filevine or similar legal case management software.Preferred Qualifications4+ years of personal injury litigation experience.Experience with county-specific court scheduling portals (Miami-Dade, Broward, Palm Beach).Experience preparing deposition documentation for attorneysExperience supporting Med Chart preparation and lien verification.Bilingual (English/Spanish) is beneficial.Compensation & BenefitsBenefits include Paid Time Off, Company Holidays, Life Insurance, 401(k) with employer match, Health, Dental, and Vision insurance.Anidjar & Levine, P.A. is an equal opportunity employer and encourages candidates from all backgrounds to apply.
