Project Coordinator
JOB OVERVIEW: The Project Coordinator plays a vital role in ensuring roofing, windows, and doors projects are completed on time, within budget, and to the highest quality standards. This position serves as the central point of communication between field crews, subcontractors, clients, and office staff — keeping every project moving from initial contract through final inspection.KEY RESPONSIBILITIES:Project Scheduling & CoordinationCreate and maintain detailed project schedules for residential and commercial roofing, windows, and doors jobsCoordinate labor, equipment, and materials to ensure crews are properly deployedMonitor daily progress and adjust timelines proactively to avoid delaysCommunicate schedule changes to all homeowners in a timely mannerClient CommunicationServe as the primary point of contact for clients throughout the project lifecycleProvide regular project updates and respond to client inquiries promptlyAddress and resolve customer concerns professionally to ensure satisfactionSchedule post-job inspections with project managers and clients as neededMaterials & ProcurementCoordinate material deliveries with homeownersDocumentation & ComplianceMaintain accurate and up-to-date project files, including contracts, change orders, and permitsEnsure all required permits are obtained before project commencementDocument job progress with photos and written reports as neededFinancial TrackingMonitor project budgets and flag cost variances to managementAssist with submitting progress billings and final invoicesTrack labor hours and material costs against project estimatesSafety & Quality AssuranceCoordinate warranty follow-up work and punch list completionREQUIREMENTS:2–4 years of coordination, scheduling, customer service, or administrative experience.Strong organizational, multitasking, and time-management abilities.Excellent communication skills and comfort working in a fast-paced environment.Proficiency in CRM, scheduling systems, and Microsoft Office (especially Excel and Outlook).Ability to handle financial transactions and maintain detailed payment tracking.PREFERRED:Experience in roofing, windows, doors, construction, home services, or field‑based project environments.Familiarity with logistics, material deliveries, or vendor coordination.Bilingual (English/Spanish) a plus.
