This role helps ensure the smooth and efficient functioning of office operations, financial processes, staff support systems, and workplace initiatives. The ideal candidate is highly organized, proactive, detail-oriented, and comfortable managing multiple priorities in a fast-paced nonprofit environment.ResponsibilitiesOperations- Ensure shared office spaces are properly maintained and stocked with supplies to support daily operations and events.- Coordinate property management matters including maintenance requests and facility-related issues.- Manage vendor relationships, contracts, and records and assist with procurement and purchasing processes.- Coordinate with janitorial services and other facility vendors to maintain office functionality and cleanliness.- Assist with organizing shared office storage areas including kitchen storage and operational supply spaces.- Support the Operations Manager by coordinating and preparing memos, emails, presentations, and operational reports.- Track and follow up on key operational deliverables and organizational initiatives.- Assist with operational initiatives such as calendar coordination and scheduling processes.- Assist with occasional pick-up and delivery of materials, documents, or supplies to local vendors as needed; requires the ability to travel locally using a personal vehicle.Organizational Effectiveness- Coordinate employee recognition programs and staff morale initiatives.- Assist with workplace engagement and staff appreciation activities.- Support planning and coordination for internal initiatives such as the annual staff retreat.- Assist with preparation of internal presentations and organizational activity reports.- Perform additional duties in office operations and personnel administration as directed by management.Financial- Process payment requests and assist with accounts payable operations including vendor invoices and reimbursements.- Deposit incoming checks and cash donations and maintain proper documentation.- Prepare and send the monthly rent payment to CCTHC and maintain accurate records.- Pull donation and financial reports from platforms including CardPointe, Transaction Central, Square, Stripe, and other systems weekly.- Maintain financial documentation and assist with preparation for annual financial audits.- Handle day-to-day accounts payable operations including collecting invoices and IRS Forms such as W-9, paying and liaising with vendors, collecting receipts, reviewing business expense reconciliation, coordinating organizational purchase card reconciliation, issuing reimbursements, maintaining vendor and contract files.Information Technology- Assist staff with IT-related needs and coordinate with external IT vendors for troubleshooting and support.- Help ensure IT systems and office technology remain operational and up to date.- Support internal technology audits and maintain operational equipment.- Assist with staff technology setup including communications systems such as 8x8 and related tools.Human Resources- Facilitate the employee onboarding and off-boarding process including preparing new hire and benefit enrollment forms, time and attendance setup, completing I-9 verifications, and conducting new hire orientations.- Coordinate the payroll process and obtain necessary approvals.- Manage and track employee benefits and leaves of absence including vacation and sick time and communicate them to staff in a timely manner.Administrative Functions- Direct all incoming calls, mail, speaking and meeting requests to appropriate staff.- Manage the organization's general information email inbox and route inquiries to appropriate staff.- Provide administrative support including reserving meeting spaces, coordinating logistics and materials for internal staff meetings and social events, board meetings, annual convenings or conferences led by governance and advisory boards, travel arrangements for management staff, and other events, as needed.Additional Duties- All CAIR staff are required to assist with fundraising initiatives when necessary.- CAIR staff may be required to attend some weekend or weekday evening events.- Perform other duties as assigned.Qualifications- At least 2 years of experience in operations, office administration, or administrative coordination.- Working knowledge of Microsoft Office Suite.- Strong organizational and time management skills with a high attention to detail.- Excellent verbal and written communication skills.- Professional integrity and ability to maintain confidentiality of sensitive information.- Ability to multitask and meet deadlines in a fast-paced work environment.- Ability to work independently while also collaborating effectively within a team.- Ability to interface with community members, staff, and vendors with professionalism and care. - Access to a working vehicle and ability to travel throughout the Greater Los Angeles Area.- A strong commitment to civil rights and CAIR's mission.Preferred- Nonprofit work experience.- Experience working with the American Muslim community and/or diverse communities.- Familiarity with nonprofit fundraising platforms or CRM systems.TO APPLY Submit cover letter, resume and three references.Equal Employment Opportunity CAIR-CA is passionately committed to Equal Employment Opportunity and to compliance with all Federal, State, and local laws that prohibit employment discrimination based on age, race, color, gender, religion, national origin, disability, protected veteran status, and other protected classifications.Salary: $28.00 - $33.00 per hourJob Posted by ApplicantPro
