Director, Finance & Family Office OperationsPosition OverviewA private investment and operations office is seeking a highly organized and technology-forward finance leader to oversee financial administration, operational infrastructure, and a globally dispersed portfolio of residential and investment assets. This individual will play a key role modernizing processes, improving reporting visibility, and helping transition the office toward a more efficient digital operating environment.The role combines hands-on financial management with operational oversight across multiple entities, properties, investments, and related family office activities.Core ResponsibilitiesFinancial Administration & ReportingManage day-to-day accounting activities across multiple entities and accountsOversee monthly financial reporting, reconciliations, and cash managementCoordinate accounts payable, wire activity, reimbursements, payroll, and banking relationshipsPrepare budgets, liquidity forecasts, and consolidated financial summariesMonitor expenses related to properties, lifestyle operations, investments, and affiliated entitiesDevelop dashboards and reporting tools that improve transparency and decision-makingProperty & Asset OversightCoordinate financial operations tied to a portfolio of domestic and international propertiesTrack operating expenses, vendor contracts, maintenance costs, taxes, and insurance coveragePartner with property managers, service providers, and advisors to ensure efficient operationsHelp streamline recordkeeping and payment workflows across multiple locationsInvestment & Entity ManagementMaintain reporting and tracking related to investment holdings and private fundsAssist with capital activity, distributions, investment reporting, and performance analysisSupport coordination with external investment managers, banking partners, legal counsel, and tax advisorsOrganize and maintain entity documentation, ownership records, and compliance materialsProcess Improvement & Technology ModernizationLead efforts to digitize financial operations and reduce dependency on manual or paper-based processesImplement and optimize systems for payments, approvals, reporting, and document managementImprove internal controls, operational procedures, and data organizationEvaluate and enhance tools across accounting, workflow management, and financial operations platformsTax, Legal & ComplianceCoordinate quarterly estimated tax payments and year-end filing requirementsMaintain entity records, registered agent information, insurance policies, and renewal schedulesOrganize trust, estate, and corporate documentation, including compliance calendarsSupport foundation and philanthropic reporting requirements, including audits, grant documentation, and related filingsDesired Background7+ years of experience in finance, accounting, operations, or investment administrationPrior exposure to family offices, private investment environments, private equity, venture capital, or ultra-high-net-worth operations strongly preferredExperience managing multiple entities, accounts, and complex financial structuresStrong systems orientation with an interest in automation and process efficiencyComfortable handling highly confidential information with professionalism and discretionAdvanced Excel and financial analysis capabilities preferredFamiliarity with modern financial and operational platforms is a plusIdeal ProfileThe ideal candidate is detail-oriented, adaptable, and highly trustworthy, with the ability to balance strategic thinking and hands-on execution.
