Receptionist / Facilities Coordinator

Our client, a prestigious skincare brand, is seeking a temporary Receptionist/Facilities Coordinator to join their team in NYC. This is an ongoing assignment with no defined end date. This role is onsite fulltime, Monday through Thursday.Job Duties Include:Welcome and assist guests upon arrival, ensuring a professional and friendly first impressionDirect visitors to the appropriate contacts and office locationsManage incoming calls, including answering, screening, forwarding, and checking voicemail dailyReceive, sort, and distribute mail and deliveries (e.g., FedEx, messenger services)Process office invoices through internal systemsSupport pack-outs across departments as neededServe as the primary liaison with building management for office-related matters (e.g., safety, construction, Emergency Action Plans)Coordinate with external vendors to address and resolve maintenance requestsOrder and maintain inventory of office supplies, ensuring timely restockingTrack and update records of office expenses and budgetsMaintain kitchen cleanliness and organization, ensuring it remains well-stocked and presentableAssist with the setup and breakdown of meetings in conference roomsEnsure workspaces are fully equipped and assist in onboarding new hires to office proceduresPartner with IT to set up computers and technical equipment for employeesProvide basic training on internal systems (e.g., Outlook)Assist with conference room scheduling as neededTrain temporary staff on office procedures and systemsMaintain office security by following protocols, managing reception access, and registering visitors for badgesTroubleshoot office equipment issues (printers, copiers, phones, etc.) in line with company guidelinesOversee maintenance of office equipment and coordinate service when necessaryUpdate and maintain the company phone directoryJob Qualifications Include:1+ years of experience in an office support or administrative roleProficiency in Microsoft Office SuiteStrong organizational skills with the ability to manage multiple priorities effectivelyExcellent verbal and written communication skillsDemonstrated flexibility and adaptability in a dynamic work environmentAbility to interact professionally with employees at all levels in a fast-paced, high-pressure setting while remaining proactive, resourceful, and efficientWorking knowledge of office equipment, including telephone systems, printers, copiers, and fax machinesAbility to lift and carry up to 50 lbs as neededSalary: $24-$26/hrThe description above is intended to describe the general nature and level of work being performed and is not an exhaustive list of all duties, responsibilities, and qualifications required.While PCG appreciates all applicants, only those qualified will be contacted.
