Job DescriptionLegal On-Site Services SpecialistPOSITION PROFILEThe Legal On-Site Services Specialist provides, facilities, and general office support within a legal environment. The primary focus of this role is maintaining conference rooms, pantries, restrooms, collaborative spaces, and office areas to ensure a clean, organized, and fully functional workplace. The position also supports office setups, supply replenishment, and light print/copy tasks as needed.This role interacts with attorneys, paralegals, legal secretaries, and administrative staff and reports directly to the Site Manager, Site Supervisor, or Assistant Site Manager.Job Duties and Responsibilities Office & Facilities Responsibilities (Primary Focus)Performs conference room setups and resets for meetings and events.Replenishes conference room supplies, including stationery, beverages, and technology accessories.Cleans and maintains:Pantries and kitchenettesMen's and ladies' restroomsConference roomsShower roomsCollaborative areas, billiard room, and Associate LoungeSupports office setups for new arrivals and internal relocations.Performs printer paper replenishment and light upkeep of convenience copiers.Handles box deliveries, internal freight checks, and cleanup of delivery areas.Maintains cleanliness and order of internal stairways and hallways.Identifies and reports facility issues, including General Office Support Distributes office supplies and assists with inventory management.Sorts and distributes incoming mail and packages as needed.Responds to service requests and communicates updates to staff.Delivers items and completed tasks to designated office locations.Interacts professionally with legal staff at all levels. Print/Copy Center Support (as needed)Operates high-volume copiers and scanners for basic document jobs.Performs simple binding, finishing, and document handling tasks.Ensures convenience copiers remain stocked and operational; reports issues to technicians.Maintains basic logs related to print/copy activity when required. Qualifications (Education, Experience, and Certifications) RequiredHigh school diploma, GED, or equivalent experience.Strong customer service and communication skills.Ability to work independently, manage time effectively, and adapt to changing priorities.Basic computer proficiency (MS Office, email).Ability to lift/move up to 50 lbs and perform physical tasks such as standing, bending, and walking for extended periods. PreferredExperience in corporate, facilities, or porter services environment.Familiarity with office equipment such as copiers, scanners, and postage machines. Knowledge, Skills, and AbilitiesStrong attention to detail and commitment to cleanliness and organization.Ability to identify and report facility issues promptly.Good problem-solving and troubleshooting skills.Ability to follow instructions and maintain accurate records.Excellent interpersonal skills and professionalism when interacting with legal staff.Basic understanding of shipping/receiving procedures and office equipment.Working Conditions, Mental and Physical DemandsThe role is performed primarily in an office environment with adequate lighting, ventilation, and a normal range of temperature and noise levels. Regular movement throughout the facility is required to support conference rooms, pantries, restrooms, and common areas.Work assignments are varied and may involve interpreting and following detailed instructions, prioritizing multiple tasks, and communicating information clearly to staff at all levels.This position requires regular physical activity, including extended periods of standing, walking, bending, reaching, stretching, and occasional climbing.
