Facilities Coordinator
Job Description
We are seeking a highly organized and tech-savvy Facilities Coordinator to support day-to-day facilities operations and workplace management activities. This role is ideal for someone who enjoys balancing administrative coordination, technology systems management, and hands-on operational support in a fast-paced environment.A key part of this role will be serving as the system administrator for the organization's Facilities Management platform, making strong technical skills and attention to detail essential for success.Responsibilities Support daily facilities operations, including work order management and vendor coordination Serve as the primary administrator and subject matter expert for workplace management and facilities software platforms Provide technical support, training, and guidance to end users on facilities systems and processes Configure and maintain software modules, floor plans, asset management tools, and workspace settings Partner with software account management teams and participate in routine system update meetings Conduct regular floor space audits and maintain accurate occupancy and floor plan data Monitor office spaces through regular walkthroughs to proactively identify and report facility-related issues Coordinate preventative maintenance requests and oversee completion through vendors or building personnel Act as the point of contact for office badging requests and facility access needs Support workplace safety initiatives and coordinate emergency response activities related to facilities issues Assist with maintaining organization and cleanliness of storage and shared spaces Provide operational and administrative support to the facilities leadership team Serve as backup support for the account manager as needed Perform additional duties and special projects as assignedQualifications Associate degree required; bachelor's degree preferred Previous facilities operations or facilities coordination experience preferred Experience with workplace management, work order, or asset management platforms preferred Eptura/Hummingbird experience is a plus Familiarity with AutoCAD or similar design/drafting software preferred Advanced proficiency with Microsoft Office products including Word, Excel, Outlook, PowerPoint, and Teams Strong technical aptitude with the ability to quickly learn new systems and software platforms Excellent organizational skills and ability to manage multiple priorities simultaneously Strong initiative and ability to work independently with minimal supervision Professional communication and interpersonal skills with the ability to build strong working relationships Ability to remain calm, flexible, and solutions-oriented in fast-paced or stressful situations High level of discretion and ability to maintain confidentiality with sensitive informationIdeal Candidate Detail-oriented and highly dependable Comfortable balancing administrative, technical, and operational responsibilities Strong problem-solving and troubleshooting abilities Adaptable and proactive in a constantly evolving environment Team-oriented with a customer-service mindset Passionate about creating organized, functional, and efficient workplace environmentsThis is an exciting opportunity for someone looking to grow their facilities and workplace operations career while working in a collaborative and dynamic environment.Equal Opportunity Employer / Disabled / Protected VeteransThe Know Your Rights poster is available here: https://www.eeoc.gov/sites/default/files/2023-06/22-088_EEOC_KnowYourRights6.12.pdfThe pay transparency policy is available here: https://www.dol.gov/sites/dolgov/files/ofccp/pdf/pay-transp_%20English_formattedESQA508c.pdfFor temporary assignments lasting 13 weeks or longer, the Company is pleased to offer major medical, dental, vision, 401k and any statutory sick pay where required.We are committed to working with and providing reasonable accommodations to individuals with disabilities.
