Proposal Coordinator
A Proposal Coordinator is responsible for coordinating the development of proposals. The Proposal Coordinator ensures that all proposal materials are accurate, well-organized, and submitted on time. They may also assist in the development of proposal templates, processes, and best practices to streamline proposal development efforts.Essential FunctionsSupport the proposal managers through coordinating the proposal development process.Support the creation of RFIs/SSNs, task orders, IDIQ proposals, Rough Order of Magnitude (ROM) requests, and other stand-alone proposals that may range from $5M-$150M in valueEnsure adherence to proposal development preparation guidelines, processes, methodologies, and associated business toolsAnalyze requirements and ensures that proposals meet requirements by creating and maintaining compliance matrix documents.Edit, standardize, proofread, or make updates to material prepared by other writers; eliminates inconsistencies in format or voice, typos, and grammatical and spelling mistakesBuild proposal outlines, creates folder structures, maintains proposal log, trackers, and oversees creation of proposal templatesDevelop effective methods for presenting and organizing information within proposals, such as the use of tables and graphicsCoordinate proposal layout and outlines with SMEs and technical writersMaintains records and files of work and revisionsOrganize and attends proposal kickoff, drumbeat, color review, and gate review meetingsAssist with the production, reproduction, and binding/packaging of draft proposals, final proposals, and all hard/soft copiesOrganize material and completes writing assignments according to set standards regarding order, clarity, conciseness, style, and terminologyEnsure proposals are delivered on time and in compliance with all RFP requirementsPerforms other duties as required.Regular and reliable attendance on a full time basis [or in accordance with posted schedule].Responsible for exhibiting professional behavior with both internal and external business associates that reflects positively on the company and is consistent with the company's policies and practices.Embodies AEVEX's cultural values and aligns daily actions with department goals and company culture.Qualifications and CompetenciesSecurity Clearance- Ability to obtain/maintain a Secret DoD clearance, U.S. Citizenship required.Proficient MS Word and SharePoint, Excel requiredKnowledge of other editing and publishing tools highly desiredSkills with graphics software packages such as Adobe Creative CloudAbility to work in high-pressure, deadline driven environments where priorities change quicklyAbility to learn and rapidly apply knowledge of the company's operations, corporate capabilities, and core competencies to develop strong proposals and marketing materialsExcellent time management and organizational skillsProficient problem-solving and resource integration abilitiesAbility to apply interpersonal skills in establishing and maintaining successful working relationships with corporate personnel, project managers, staff, and other business enterprises and partnersEducation / CertificationsBachelor's degree from an accredited college/university, with a preference for majors in English, law, philosophy, history or other discipline that indicate an ability to write accurately, well, and concisely in an organized fashion with strong citing of source material where requiredAPMP certification or active enrollment a plusExperience2+ years of proposal or other relevant experienceExperience with Salesforce is a plusDemonstrated experience working with diverse teams who are solving challengesPhysical RequirementsThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
