Job Description
Conrac Solutions seeks a polished and experienced Administrative Assistant/EA to support our leadership team through general administrative, clerical and organizational management duties.ConRAC Solutions specializes in design, financing, construction, and operation of Consolidated Rental Car Facilities (ConRACs) at airports across the United States. Our comprehensive services aim to streamline airport rental car operations, enhance customer experience and operational efficiency. This is a full-time role, working out of our Renton headquarters and supporting the leadership group across the country.JBCSCSLEAA13DutiesProject TrackingTrack progress on tasks and projects, create calendar holds, and follow up on deadlines as needed.Meeting & Event Coordination:Organize and book meetings, conferences, and in-person gatherings.Support event planning, including catering and logistics.Provide administrative support including document retention, and meeting planning.Develop agendas and materials as requested, ensuring timely preparation and distribution.Attend meetings to take notes and manage internal follow-ups.Support:Assist with travel arrangements and schedulingAct as a liaison for obtaining signatures and other executive needs.Manage master calendars and PTO tracking for subsidiaries as needed.Handle clerical tasks such as faxing, filing, scanning, typing, creating/editing documents, and running errands.Conduct other miscellaneous tasks as requested by management.Marketing & Communications:Collaborate with Comms to assist in creating basic marketing materials to support project initiatives and company branding.Facilitate communication via phone, email, letters, and in-person interactions with clients, vendors, building management, and employees.Office Management:Provide general office support, including managing supply inventory, sorting and routing mail, greeting visitors, and managing conference rooms.Maintain digital file systems.Identify and implement administrative systems and procedures to streamline office operations.Other Duties as Assigned:Be adaptable and willing to take on additional responsibilities as they arise to support the team and company operations.QualificationsBachelors’ Degree preferred. High school diploma with additional work experience may be a substitute.5+ years of experience in an administrative role, preferably in a commercial construction or engineering firm.Experience in event planning and project management is a plus.Proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint).Strong organizational skills and the ability to manage multiple priorities effectively.Excellent communication skills, both written and verbal.Attention to detail and a high level of accuracy in all tasks.Ability to work independently and collaboratively within a team.Knowledge of project management principles and terminology is a plus.Flexibility and adaptability to meet changing priorities and deadlines.Self-starter with a positive, team-oriented attitude with ability to independently develop viable solutions to problems as they arise.Gracefully handle pressure to remain a constantly reliable resource to management.We offer a competitive total compensation package and great benefits including Medical, Dental, Vision, 401(k), and life.Equal Employment Organization
