Job Title: Administrative AssistantDuration: 12-Month ContractLocation: New York, NY 10282 (Onsite)About the Role:Our client, a leading organization in the Asset & Wealth Management space, is seeking a highly organized and proactive Administrative Assistant to support executive teams in a fast-paced, dynamic environment. This role requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities with discretion and professionalism.Key Responsibilities:Provide high-level administrative support within a team-oriented environment, with flexibility to assist multiple teams as neededManage complex calendars across multiple time zones, including scheduling meetings, prioritizing requests, and coordinating logisticsHandle a high volume of incoming calls, take accurate messages, and interact professionally with senior leaders and clientsCoordinate domestic and international travel arrangements, including visa processing and expense reportingOrganize internal and external meetings, including conference room bookings, catering, guest registration, and materials preparationPerform general administrative duties such as data entry, filing, scanning, mailing, and document managementMaintain confidentiality while handling sensitive client and business informationAct as a key team member by staying informed on priorities and proactively providing supportEnsure compliance with internal policies and approval processesRequired Qualifications:Proven experience as an Administrative Assistant supporting senior executives in a complex, fast-paced environment (financial services, corporate, or government preferred)Strong judgment and discretion when handling confidential informationExcellent interpersonal and teamwork skills with the ability to collaborate across global teamsAbility to remain calm under pressure while managing multiple priorities efficientlyStrong written and verbal communication skills with a professional demeanorExceptional organizational skills and attention to detailSelf-starter with strong problem-solving and follow-up skillsHigh level of integrity, professionalism, and diplomacyProficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and ZoomExperience with expense management tools such as Concur or similar platformsPreferred Qualifications:Experience supporting teams in Asset & Wealth Management or similar industriesFamiliarity with global scheduling and executive-level coordination
