This role is critical to execution quality—errors directly impact margins, inventory, and customer satisfaction.The ideal candidate is detail-oriented, calm under pressure, and understands the pace and urgency of wholesale produce distribution.Key ResponsibilitiesOrder Entry & Customer SupportReceive customer orders via phone, email, text, or WhatsAppAccurately enter orders into the ERP system with correct items, pack sizes, quantities, pricing, and delivery datesConfirm order details with customers when needed to avoid errorsHandle same-day changes, add-ons, substitutions, and cancellationsCustomer CommunicationServe as a professional, responsive contact for assigned customersCommunicate product availability, substitutions, shortages, and delivery updatesEscalate pricing, credit, or exception issues to sales or management promptlyMaintain a service-first mindset while enforcing company processesCoordination with Internal TeamsWork closely with sales to ensure orders align with customer pricing and agreementsCoordinate with warehouse and logistics teams on pickup and delivery timingCommunicate discrepancies, backorders, or system issues immediatelyAccuracy, Documentation & ProcessMaintain high order accuracy standardsFollow SOPs for order cut-off times, confirmations, and changesDocument customer communications and special instructionsSupport traceability, food safety, and compliance requirementsRequired Qualifications1–3 years of customer service, order entry, or administrative experienceStrong attention to detail and organizational skillsAbility to multitask in a fast-paced, time-sensitive environmentClear and professional communication skillsBasic computer proficiency (ERP, email, spreadsheets)Ability to work early hours and handle daily order deadlinesPreferred QualificationsExperience in wholesale produce, food distribution, or logisticsBilingual (English/Spanish) strongly preferredFamiliarity with pack sizes, counts, and produce terminologyExperience with ERP or order management systemsCore CompetenciesAccuracy under pressureCustomer-first communicationReliability and accountabilityTeam collaborationProcess discipline
