Home Health Scheduling and Intake Coordinator

Schedule: M-F, 8am-5pm in Albany office. Pay: $22-26/hr DOE Overview We are seeking a dynamic and detail-oriented Home Health and Hospice Intake Coordinator to join our healthcare team. In this vital role, you will serve as the first point of contact for patients and providers, ensuring a smooth and efficient intake process. Duties Greet patients and visitors with professionalism and warmth, creating a welcoming environment at the front desk Collect, review, and verify patient information including insurance details, medical history, and demographic data Manage appointment scheduling using EMR (Electronic Medical Record) systems such as Epic, Meditech, or eClinicalWorks Verify insurance coverage and benefits through systems like Athenahealth or other health information management platforms Ensure accurate documentation review for intake forms, medical records, and care plans in compliance with HIPAA regulations Assist with insurance verification processes and communicate coverage details clearly to patients Enter data accurately into various EMR systems while maintaining high standards of computer literacy and typing speed Coordinate with medical staff to facilitate smooth patient flow from check-in to treatment or consultation Maintain organized filing of medical records, billing documents, and administrative paperwork Support medical billing processes by understanding CPT coding, ICD-10/ICD-9 coding standards, and Medicare requirements Handle multi-line phone systems with excellent phone etiquette to answer inquiries promptly and professionally Provide exceptional customer service by addressing patient questions, concerns, or scheduling needs efficiently Collaborate with clinical teams to ensure all intake procedures are completed accurately and timely Support office management tasks such as filing, data entry, and maintaining office supplies Qualifications Proven experience in medical administrative support or clinic reception roles with a strong background in healthcare settings such as dental clinics or hospitals Familiarity with EMR systems including Epic, Meditech, eClinicalWorks, or similar platforms; experience with Eaglesoft or Dentrix is a plus Knowledge of medical terminology, ICD-10/ICD-9 coding, CPT coding, and insurance verification processes Understanding of HIPAA regulations related to health information management and patient privacy Excellent computer skills including proficiency in Microsoft Office Suite (Word, Excel) and typing accuracy (10 key typing preferred) Strong organizational skills with the ability to manage multiple tasks efficiently in a fast-paced environment Exceptional communication skills with professional phone etiquette; bilingual abilities are highly desirable for serving diverse patient populations Experience working within clinic environments or dental offices is preferred; familiarity with dental terminology is advantageous Ability to handle sensitive information discreetly while maintaining accuracy in documentation review Prior experience in front desk operations or medical office management will be considered an asset EDUCATION and EXPERIENCE: High School diploma or equivalent Minimum two years’ experience in administrative position in healthcare setting QUALIFICATIONS and SKILLS: Knowledge of medical terminology Knowledge of insurance reimbursement process Effective data entry, problem-solving, human relations and oral/written communication skills Demonstrates good communications, flexibility and cooperation in performing job responsibilities Possess a valid driver’s license and insurance in accordance with state and/or organization requirements Basic computer skills and knowledge of office technology Join our team as an Intake Coordinator where your enthusiasm for healthcare support will make a meaningful difference!
