Executive Assistant
This is a remote position.Location:New YorkSchedule:Monday to Friday, 6:30 AM to 3:00 PM with a 1-hour unpaid lunch breakOverview:We are seeking a highly organized and tech-savvy Executive Assistant to provide high-level administrative support. The ideal candidate will manage calendars, oversee email communication, coordinate travel, and handle special projects while ensuring time is efficiently allocated for work that drives scientific discovery and funding.Key ResponsibilitiesHigh-Level Administrative Support:Manage calendars, prioritize tasks, and oversee email communication.Coordinate travel arrangements and travel reimbursements.Integrate and manage personal calendars, medical appointments, family gifts, and other tasks.Communication & Coordination:Regularly meet to review priorities and increase efficiency.Serve as a delegate inboxes, responding or escalating emails as needed.Coordinate communication with assistants and administrators at the University of Rochester, especially regarding contracts.Documentation & Workflow Management:Produce and continually update a ‘User Manual’ documenting preferences, workflows, and instructions.Ensure time is protected for work that meets deliverables and expands funding.Confidentiality & Project Management:Handle sensitive information with discretion.Manage special projects as assigned.Required Skills & ExperienceProficiency with technology, including:1Passwordfor password management.ClickUpfor task and project management.Google Calendarfor scheduling and time management.Dropboxfor file storage and sharing.Strong organizational and multitasking abilities.Excellent communication skills, both written and verbal.Experience managing complex schedules and prioritizing tasks.Ability to work independently and handle confidential information with integrity.May need to assist another executive when necessary (business partner).
