Executive Assistant to CEO

Position Overview: We are seeking a highly organized and experienced Executive Assistant to support the CEO of Walden Media Group. This role requires exceptional communication skills, attention to detail, trust, discretion, confidence, organization and the desire to thrive in a fast-paced executive environment. The Executive Assistant will play a crucial role in ensuring the CEO's efficiency, enabling them to focus on strategic priorities and drive the company's success. This position not only supports and reports directly to the CEO, but also the founder of the company. You will actively be traveling and attending boardroom and c suite level meetings along side our CEO and contributing directly to the growth of the company in this position. An interest in creative, tech, design, media and advertising a plus. Qualifications Strong skills in executive administrative assistance and support A background in business, psychology, communications preferred Experience in managing complex calendar management Excellent communication and organizational skills Ability to multitask and prioritize Attention to detail and problem-solving skills Experience in the technology industry is a plus Responsibilities: Calendar Management: Efficiently manage the CEO's calendar, scheduling and coordinating meetings, appointments, and events. Anticipate scheduling conflicts and proactively resolve them to optimize the CEO's time. Travel Coordination: Arrange complex domestic and international travel, including flights, accommodations, and transportation. Prepare detailed itineraries and ensure all travel arrangements align with the CEO's preferences and priorities. Communication Management: Act as a gatekeeper for the CEO, managing and prioritizing incoming communications. Draft, edit, and proofread correspondence, presentations, and reports on behalf of the CEO. Meeting Support: Prepare agendas, materials, and logistics for meetings attended by the CEO. Take accurate meeting minutes and follow up on action items to ensure timely completion. Confidentiality and Discretion: Handle sensitive information with the utmost confidentiality and discretion. Manage and safeguard confidential documents and communications. Project Coordination: Support the CEO in various projects by coordinating tasks, tracking deadlines, and liaising with internal and external stakeholders. Relationship Management: Cultivate positive relationships with internal and external contacts, acting as a representative of the CEO when necessary. Attend business dinners, events, conferences, lunches and in person meetings with CEO, and relevant executives, stakeholders, nationally and internationally Office Management: Oversee the CEO's office organization, including filing systems, supplies, and equipment. Qualifications: Bachelor's degree preferred. Proven experience as an executive assistant or in a similar role supporting C-level executives. Exceptional organizational and time-management skills. Strong written and verbal communication skills. Proficient in Microsoft Office Suite and other relevant tools. Ability to handle multiple tasks simultaneously and adapt to changing priorities.
