Front Desk Officer

About USOur MedSpa is a boutique luxury nail salon and medical spa opening in Chicago's South Loop. We offer Russian manicures, luxury pedicures, lash and brow services, HydraFacials, chemical peels, microneedling, neurotoxins, dermal fillers, biostimulators, PRF treatments, and Pico laser—all in a warm, elevated environment built on precision and artistry. We are looking for a Front Desk Concierge who is the first and last impression for our clients —and who can help us build our brand online.The RoleYou are our brand's face and voice. You're the first person clients see when they walk in, the voice they hear when they call, and the energy that sets the tone for their entire visit. Beyond the front desk, you'll also support our social media presence—capturing content, managing posts, engaging with followers, and helping build the brand online. This is a dual role for someone who is equal parts hospitality professional and creative content person. You'll report to the Operations Manager and work closely with the CEO on brand and social media direction.What You'll DoClient Experience & Front Desk•       Greet every client by name with warmth, professionalism, and genuine hospitality—make them feel like a VIP from the moment they walk in•       Manage the appointment book across all providers (nail artists, aesthetician, nurse injector, lash & brow artist) using Boulevard scheduling software•       Handle all client communications: phone calls, emails, DMs, text confirmations, appointment reminders, and rebooking follow-ups•       Check clients in and out efficiently—confirm services, process payments, apply gift cards, memberships, and packages•       Manage the refreshment and waiting area—ensure beverages, music, lighting, and ambiance are always on point•       Upsell and cross-sell services and retail products naturally during checkout—recommend add-ons, memberships, and treatment series•       Handle client concerns, schedule changes, and cancellations with grace, speed, and a solutions-first approach•       Manage the daily waitlist, walk-in requests, and last-minute openings to maximize provider utilization•       Process gift card sales and manage the loyalty/referral program•       Keep the front desk, reception area, retail displays, and refreshment station clean, organized, and visually aligned with our brand•       Open and close the front desk—ensure the space is ready before the first client and secured after the lastSocial Media & Content•       Create, schedule, and publish content for our Instagram—Reels, Stories, carousels, and feed posts (3–5x per week minimum)•       Capture in-salon content: before/after photos, treatment process clips, behind-the-scenes moments, team features, and client testimonials (with consent)•       Edit photos and short-form video using Canva, CapCut, or similar tools—maintain our visual brand (warm tones, clean aesthetic, luxury feel)•       Write captions and copy that match our brand voice—warm, confident, elevated, never salesy or clinical•       Manage community engagement: respond to comments and DMs, engage with local accounts, interact with beauty and wellness creators in the Chicago area•       Monitor and respond to Google reviews and Yelp reviews—thank clients, address concerns, and flag issues for the Operations Manager•       Support email marketing efforts: help build newsletters, promotional blasts, and appointment reminder campaigns•       Track basic social media metrics: follower growth, engagement rates, reach, and content performance—report monthly to the CEO•       Coordinate with providers for educational content: skincare tips from the aesthetician, injection explainers from the nurse injector, nail art showcases from the nail artists•       Assist with planning and promoting client events: grand opening, seasonal promotions, VIP nights, and community partnerships•       Keep up with beauty and wellness trends on social media and bring fresh content ideas to the teamAdministrative Support•       Support the Operations Manager with daily revenue tracking, end-of-day reconciliation, and cash handling•       Assist with inventory counts and supply tracking for retail products and front desk consumables•       Maintain client records in Boulevard—update contact information, service history, preferences, and notes•       Ensure intake forms, consent forms, and waivers are completed and properly filed for every new client•       Assist with onboarding new clients: explain services, answer questions about treatments, and help them navigate the booking processWhat We're Looking For•       1–3 years of experience in a front desk, reception, concierge, or client-facing role—preferably in a salon, spa, medspa, hotel, or luxury retail environment•       Demonstrated social media skills: you manage or have managed an Instagram account (personal or professional) with a strong aesthetic and consistent engagement•       Strong content creation ability: comfortable shooting photos and video on an iPhone, editing in Canva or CapCut, and writing engaging captions•       Excellent communication skills: warm and professional on the phone, in person, in writing, and on social media•       Highly organized and detail-oriented—you can manage a busy appointment book, handle multiple client requests, and keep the desk running smoothly•       Tech-savvy: comfortable learning booking software (Boulevard), POS systems, Google Workspace, Instagram Business, and email marketing platforms•       Knowledge of or genuine interest in beauty, skincare, nails, and wellness—you can speak about our services with confidence and curiosity•       Positive, calm energy even on busy days—you set the tone for the entire space•       Professional appearance and demeanor aligned with a luxury beauty environment•       Reliable, managing a brand's social media account (not just personal)•       Photography or videography skills beyond a smartphone•       Experience with email marketing platforms (Mailchimp, Flodesk, Klaviyo)•       Graphic design skills (Canva Pro, Adobe Express, Photoshop)•       Knowledge of medspa services—you understand what HydraFacials, chemical peels, and injectables are and can describe
