Schedule: Monday–Friday (On-Site only, No Hybrid or Remote Opportunities)
Hours: 9:30 AM – 6:30 PM
Employment Type: Full-Time
Salary Range: $90k - $110k + bonus
About the Role
The Sales & Marketing Administrator provides primary operational and administrative support to the President, while assisting cross-functional teams including Marketing, Sales, and Service. This role plays a key part in coordinating commercial activities, supporting executive initiatives, and ensuring alignment between departments to support business growth and customer success.
The ideal candidate is highly organized, proactive, and capable of managing multiple priorities while working closely with executive leadership in a fast-paced environment.
Key Responsibilities
Executive & Administrative Support
Provide day-to-day operational and administrative support to the President
Coordinate internal and external communications, scheduling, and project follow-up
Assist with pricing coordination, commercial documentation, and executive-level requests
Support preparation of materials for meetings, presentations, and strategic discussions
Commercial & Sales Coordination
Assist with preparation of customer quotations and related sales documentation
Support review and tracking of commercial agreements, including MSAs and pricing-related materials
Coordinate communication between leadership and sales teams to ensure alignment on commercial activities
Marketing & Trade Show Support
Support marketing initiatives under the direction of the Director of Marketing
Assist in coordinating trade show and event logistics, including materials, shipping, and booth preparation
Assist with creation and organization of marketing collateral and product materials
Help maintain brand consistency across sales and marketing assets
Cross-Functional Team Support
Provide coordination support across Sales, Marketing, and Service teams
Facilitate communication between departments to ensure project alignment and timely execution
Assist with tracking internal requests, documentation, and operational workflows
Administrative & Organizational Support
Maintain organized records and shared documentation across departments
Support process improvements that enhance efficiency and communication
Assist with special projects as assigned by leadership
Qualifications
Required:
3+ years of administrative experience.
Strong attention to detail and ability to anticipate needs.
Strong organizational, time-management, and communication skills.
Proficiency with Microsoft Office (Outlook, Excel, PowerPoint, Word).
High comfort level with technology, business systems, and learning new tools quickly.
Ability to work with multiple teams and maintain a positive, solutions-focused approach.
Ability to work on-site daily in Fremont, CA.
Professionalism, confidentiality, and reliability.
Preferred:
Bachelor’s degree in Business, Marketing, Communications, or related field.
Experience with Adobe Creative Suite.
Experience using Salesforce or other CRM.
Experience in EV charging, manufacturing, or technology industries.
Experience assisting with marketing tasks or trade-show coordination.
