OverviewWe’re hiring a highly accountable, self-motivated Virtual Assistant to support a U.S.-based property management company. The role focuses on bookkeeping, vendor billing, rent/debt collection, and reconciliation, with coverage during U.S. night hours.Job HighlightsMonthly Rate: USD 1,190Number of Paid Hours Per Week: 40 hours / weekSchedule: Monday to Friday, 9:00 AM – 5:00 PM ESTWork Arrangement: Work from homeContract: Independent ContractorSide Note: Since this is a permanent work-from-home position and the arrangement is that of an Independent Contractor, the selected candidate must have their own computer and internet connection. They will handle their own benefits and taxes. The professional fees are on hourly rates, and the rate depends on performance in the application process.ResponsibilitiesBookkeeping & ReconciliationEnter and categorize financial transactions in QuickBooksPerform weekly bank and credit card reconciliations across multiple entitiesMaintain and organize clean general ledger recordsBilling & Rent CollectionPost rent, utility charges, and vendor invoices into the systemSend accurate invoices and billing reminders to tenantsMonitor tenant ledgers and follow up on unpaid balancesEscalate late rent according to internal proceduresVendor CoordinationCommunicate with vendors to gather missing invoices, job details, and billing infoEnsure accurate and timely entry of vendor chargesFollow up regularly with vendors who delay paperwork or informationOffice Coverage & CommunicationMonitor email and voicemail during U.S. night hoursRespond to urgent inquiries, including infrequent emergency calls (script provided; average 5 calls/week)Document updates clearly in internal systemsLeave detailed written handoffs for the day teamOther DutiesUse tools like Grammarly, Google Sheets, ChatGPT, and snippets to streamline communicationStay organized while managing multiple deadlines independentlyTrack tasks and productivity via KPI tools or dashboardsRequirementsAt least 5 years of experience in QuickBooks with strong reconciliation skillsGraduate of Finance, Accounting, or a related field (preferred, not required)Proven billing and accounts payable experience, especially with vendorsStrong written English communication skills (use of AI tools encouraged and provided)Excellent attention to detail with ability to work independently during U.S. off-hoursAble to manage infrequent emergency calls professionallyProficient in Google Workspace (Gmail, Docs, Sheets, Drive)Resourceful with AI and productivity tools (e.g., Grammarly, ChatGPT, templates)Experience in property management or real estateFamiliarity with U.S. rent cycles and terminologyIndependent Contractor PerksWith HMO Coverage for eligible locationsPermanent work from homeImmediate hiringSteady freelance jobReminderApply directly to the link provided; you will be redirected to BruntWork’s Career Site.
