Administrative Assistant

Job Title: Administrative Assistant Status: Part Time Reports to: Executive Director Family Promise of Ontario County (FPOC) serves families in Ontario County, NY who are experiencing housing instability through programs of care that includes emergency shelter, eviction prevention, shelter diversion, and stabilization services. Our team is united by a commitment to compassion, professionalism, and community centered service. The Administrative Assistant will work alongside our Bookkeeper and plays a vital role in supporting the organization’s mission and daily operations through strong administrative, organizational, and communication support. This position assists with office coordination, documentation, volunteer scheduling, and operational systems that keep programs running smoothly and effectively. The ideal candidate is detail-oriented, dependable, and service minded, with a passion for contributing to meaningful work that supports families and strengthens community impact. Duties Include: Donor Management: Process donations, maintain donor databases and handle donor and tribute acknowledgements. Volunteer Coordination: Support the recruitment, training, scheduling, and recognition of volunteers. Maintain volunteer records and communicate with volunteers as needed. Record Keeping: Maintain accurate and up-to-date records, databases, and filing systems. Assist in the preparation of reports, presentations, and other documents. Office Management: Maintain office supplies, manage office equipment/licenses/subscriptions, and ensure a clean and organized work environment. Event Coordination: Assist with events, fundraisers, and community outreach activities. Communication: Handle incoming calls, mail, emails, and online inquiries. Completes other duties as assigned. Skills and Qualifications: Associate's or Bachelor's degree. Experience in an administrative or office support role, preferably in a non-profit setting. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and skilled at filtering and querying databases. Experience with DonorPerfect (or other CRM) and Constant Contact. Strong organizational and multitasking skills with keen attention to detail. Excellent written and verbal communication skills. Ability to work independently and collaboratively in a fast-paced environment. Agency Expectations: ● Complies with agency standards of conduct and professionalism. ● Demonstrates knowledge of the program, mission and services of FPOC. ● Complies with all policies and procedures in Employee Handbooks. ● Is punctual and consistent in reporting for scheduled work shifts to assure coverage. ● Maintains donor and client confidentiality. ● Is able to work in an alcohol and drug free environment. ● A 90-day probationary period applies to all new hires. Hours: ● Monday-Friday: 10:00am – 2:00pm, with flexibility for periodic weekend or evening event assistance.
