The Project Coordinator will serve as a centralized coordination point responsible for gathering inputs from engineers, preparing and maintaining intake and stage-gate documentation, submitting required materials, and tracking project status throughout the capital lifecycle. This position is designed to reduce administrative burden on the engineering team and improve the efficiency and accuracy of the stage-gate process.Typical Day / Key ResponsibilitiesInitially, the role will focus on learning capital and stage-gate processes and documentation requirements.ResponsibilitiesProactively engaging engineers to collect required project inputs and updatesCompleting, updating, and maintaining stage-gate and intake documentationTracking project status and ensuring all required materials are current and accurateCoordinating with stage-gate, finance, and engineering teams when project scopes, timelines, or budgets changeEnsuring documentation consistency and compliance with established templates and processesThis is a facilitation and coordination role, not a project management role.Team StructureNo people management responsibilitiesSupports approximately 8 engineersWorks cross-functionally with engineering, stage-gate, and finance teamsPrimarily supports internal stakeholdersWork Environment & CultureThis is a collaborative, team-oriented environment. The coordinator will work closely with engineers while also independently engaging other departments as needed. The role requires strong follow-through and the ability to work with minimal day-to-day supervision.Standard business hours (approximately 7:30 AM – 5:00 PM)Hybrid schedule: Onsite Tuesday, Wednesday, Thursday; Remote Monday and FridayFlexibility available as long as core responsibilities and hours are metNo overtime requiredOnsite parking availableRequired Skills & Qualifications3–5 years of experience in a project coordinator or similar support roleStrong Microsoft Excel and Microsoft Office skillsExperience working with structured templates and documentation systemsStrong organizational skills and attention to detailAbility to track multiple workstreams and maintain accurate recordsProactive communication styleStrong follow-up and accountability mindsetAbility to work independently with minimal supervisionStrong collaboration and cross-functional coordination skillsComfort working in structured, process-driven environmentsPreferred / Nice-to-HaveExperience in utility or construction environmentsExposure to SAP (basic lookup/navigation only)Experience with auditing, documentation control, or process consistency work3–5 years of relevant experience preferredUtility or construction background is a strong plus but not requiredLocation & TravelHybrid onsite requirement (3 days onsite, 2 remote)Non-local candidates considered if willing to relocate at own expenseNo travel requiredEEO StatementSystem One is an Equal Opportunity Employer.
