Job Title: Administrative Assistant IIILocation: Houston, TX 77002Duration: 12 MonthsWork Schedule: Monday – Friday | OnsiteJob Summary:The Administrative Assistant III provides essential operational and administrative support to the organization. This position is responsible for coordinating events, managing expense reports, supporting travel arrangements, and assisting with day-to-day administrative activities. The role ensures seamless coordination between departments, vendors, and internal stakeholders while maintaining accuracy, professionalism, and compliance with company policies and procedures.This position reports to the General Services Manager, with assignments and responsibilities further defined through the administrative pool support structure.Responsibilities:Office Administration and Administrative SupportMaintain a well-organized, efficient, and professional office environment.Manage incoming calls, emails, and communications, directing inquiries as appropriate.Prepare correspondence, reports, presentations, and spreadsheets with accuracy and attention to detail.Provide general administrative support, including copying, filing, and document organization.Support calendar management, meeting scheduling, and conference coordination.Prepare, reconcile, and submit expense reports.Track costs and monitor expenditures to align with approved budgets and internal order allocations.Support the purchasing process and maintain vendor documentation as required.Coordinate catering orders and related payments.Event CoordinationPlan, coordinate, and execute departmental and company-wide events, including holiday celebrations, culture initiatives, and charity events.Coordinate with Internal Communications for event-related messaging.Manage event budgets, purchase requisitions, and approvals through SAP.Liaise with vendors, negotiate pricing, coordinate logistics, and ensure timely payments.Conduct post-event evaluations and feedback collection.Travel and SchedulingServe as the primary contact for travel coordination.Arrange domestic and international travel itineraries for executives and staff.Manage travel approvals, expense reports, and compliance with company travel policies.Special ProjectsSupport special projects and initiatives as assigned.Qualifications:Associate’s Degree required.Minimum of 3 years of experience in an administrative or executive assistant role.Skills and Competencies:Strong organizational, interpersonal, and communication skills.High attention to detail and accuracy.Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Ability to manage multiple priorities in a fast-paced environment.Professional discretion in handling confidential information.Experience coordinating travel, schedules, and expenses for senior executives.Applicant Notices & Disclaimers For information on benefits, equal opportunity employment, and location-specific applicant notices, click here
