Executive AssistantThe ideal candidate will provide top-level assistance for high-level executives. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations.ResponsibilitiesCalendar management for executivesAid executive in preparing for meetingsResponding to emails and document requests on behalf of executivesDraft slides, meeting notes, and documents for executivesDaily reportsSome personal assistant tasksGatekeeper for phone calls and employees or guests that try to get time with presidentHost new hire orientation twice per monthMaintain content for employee bulletin and other display screensQualificationsBachelor's degree or equivalent experienceProficient in Microsoft Office SuiteExperience in managing multiple priorities, administrative coordination, and logisticsWell-organized, detail-oriented, and able to multi-task with great follow-up skillsOverviewYou are the main liaison between staff members or anyone that the president deems as relevant.Your attire must be consistent with the image you represent to the office you serve.You report only to the president.You are to treat all activities, conversations, issues, and duties as confidential.You are the first line of protection for all incoming calls, casual walk-ins, etc.You are to be open, honest, and expedient in relating anything that is of importance to the companies with the president.Daily, Weekly, Monthly DutiesPhonesReportsCalendars- business meetings, other meetings, time offMail if neededScanning and copying if neededFiling- paper / electronicLetter writing / correspondenceTyping meeting notesE-newsletter / updating employee bulletin boardsPlan and coordinate all meetings and events both on-site and off-siteSchedule meetingsRemind all attendees 10 minutes ahead of each meetingStaff meetings- hand paper copy of any staff meetings / onsite meetings to each attendee along with any information that is required.Conduct new employee welcome meetingsDealer agreement and all contracts- file paper and electronic with dates.Employee birthdays & anniversariesOrder awardsSpecial events management
